Pay Range

  • $72,480 – $93,864 (E01.1) Annual
  • $86,910 – $112,584 (E01.2) Annual

Please note that the pay range information is a general guideline only. Many factors are taken into consideration when setting starting pay including education, experience, the external labor market, and internal equity.

Job Description

We have an opening for an Estimating Coordinator to assist the Estimating department in assignment, status, review, comment incorporation, and approval of cost estimates for projects at LLNL. This position is in the Project Management Office.

This position will be filled at either level based on knowledge and related experience as assessed by the hiring team. Additional job responsibilities (outlined below) will be assigned if hired at the higher level.

In this role, you will

  • Assist with coordinating quality and consistency of estimate development by making assignments and managing the workload of the estimators.
  • Attend the Pre-Induction Review Board (IRB) and IRB meetings to gather information and prepare estimating assignments.
  • Host weekly workload meeting to review current workloads and present new assignments.
  • Attend daily stand-up meetings to communicate urgent matters, touch base with the group, and provide any needed support.
  • Coordinate monthly meeting with HPC program to status their estimates.
  • Manage the SharePoint site to track and status the estimate. Provide hands-on training and answer questions to help the estimators update their tasks within the Estimate Tracker tool.
  • Coordinate with other functional areas and estimate requestors to help gather information, communicate timelines, and negotiate the delivery dates.
  • Review all final estimates to ensure correct formatting prior to distribution for signatures, confirm correct signatories, and schedule any required review meetings.
  • Create and maintain the estimate folder structure for recordkeeping.
  • Collaborate with the team to gather the appropriate data to compare estimates vs bids received for incorporation into the Bids vs Estimates (BEst) report.
  • Manage the BEst database in conjunction with the Senior Estimator and assist in publishing the BEst report.
  • Obtain Schedule of Values/Pay Applications from the Construction Management team, normalize data and prepare for incorporation into the Cortex Estimating Historical Database.
  • Coordinate annual estimating software needs, upgrades, and training to maintain required tools.
  • Coordinate efforts for the Estimating Manger to ensure action items are added, tracked, and reported using the JIRA tracking system.
  • Support the project initiation program (PMOnow) by participating in collaboration meetings and managing the workflow for estimating.
  • Perform other duties as assigned.

In Addition, at the Q01.2 Level

  • Help manage the Master Task Agreement contract component for a third-party cost estimator.
  • Develop and update monthly metrics, dashboards, and graphics for presenting estimating workload and status.
  • Conduct assessments of current processes and identify improvement opportunities and participate in defining, automating, and improving new and existing estimating processes and workflows.
  • Review, maintain and assist in developing and revising process flow diagrams to align actual estimating preparation steps and incorporate into revised procedures and work instructions.
  • Independently address areas of concern with appropriate follow up to Estimating Manager.

Qualifications

  • Ability to obtain and maintain a U.S. DOE Q-level security clearance which requires U.S. citizenship.
  • Associate degree in Business or equivalent combination of education and related experience.
  • Knowledge of cost estimating principles and applying related practices, standards, and processes.
  • Experience coordinating workflow activities in a dynamic work environment and ability to meet deadlines and manage changing priorities.
  • Experience effectively applying good judgment, discretion, and problem-solving skills to identify solutions and resolve issues.
  • Experience working as part of a multidisciplinary team in a technical support environment, collaborating with others, and recommending process improvements.
  • Effective communication and organizational skills, customer support, task prioritization, attention to detail, accuracy, and follow through.
  • Ability to communicate clear expectations on project and process activities, as well as lead the facilitation of business process improvements.
  • Demonstrated ability to plan work and coordinate with peers and customers on tasks requiring their collaboration.
  • Demonstrated strong computer skills using related software for spreadsheets, word processing, and presentations.

In Addition, at the Q01.2 Level

  • Bachelor’s degree in Business or equivalent combination of education and related experience.
  • Experience with cost estimating principles and applying related practices, standards, and processes.
  • Advanced experience using Microsoft Office tools for spreadsheets, word processing, dashboards, and graphics necessary in developing and implementing specialized presentations and reports.
  • Advanced problem solving and decision-making skills to anticipate, identify, and independently recommend appropriate actions and solutions to complex problems.
  • Experience gathering, analyzing, evaluating, and interpreting data for purposes of documenting functional needs and constraints.

Qualifications We Desire

  • Knowledge of cost estimating principles and applying related practices, standards, and processes.
  • Knowledge of SharePoint software
  • Ability to learn new software applications.
