Official Position Description:
In the Division of Opportunity, Diversity & Inclusion, Office of Business & Economic Opportunity (OBEO), provides secretarial & non-routine administrative support to ODOTs Disadvantaged Business Enterprise (DBE) Supportive Services Program Manager in order to manage various programs (e.g., National Summer Transportation Institute (NSTI), Youth Environmental Transportation Program, Construction Career Days, Mentor Protégé Program, DBE Business Development/training program, DBE Supportive Services Program, On-the-Job Training Program); corresponds with consultants/contractors to obtain & communicate financial & contractual information regarding programmatic activities; determines & communicates programmatic policies & activities (e.g., determines program schedule for NSTI program); communicates policy for the On-the- Job Training Program (e.g., emails correspondence out on a monthly basis & answers questions, uses policy to provide structured answers & FAQs to prime contractors). Serves as the Supportive Services Liaison in the Office of Business & Economic Opportunity (OBEO). Responsible for appropriately handling & tracking invoices related to ODOTs Supportive Services programs; collects financial information from consultants; provides specific information to the Division of Finance in order to create purchase orders; ensures payments are reconciled & coded correctly; reviews Request for Proposal (RFP) submittals; uses a personal computer to enter financial information into Appropriation Accounting (AA). Schedules & conducts meetings & assists with event planning. Utilizes a computer & related software (e.g., Microsoft Word & Excel) to assist manager with reports as needed to Federal Highway Administration (FHWA) & State of Ohio stakeholders; compiles programmatic information to show cost benefit analysis of programs; reviews & provides input to statements of work submitted to FHWA.
Works with managers in OBEO to collect information & compile training information for on-line & in person training related to Supportive Services programs (e.g., NSTI, Youth Environmental Transportation Program, Construction Career Days, Mentor Protege Program, DBE Business Development/training program, DBE Supportive Services Program, On-the-Job Training Program); uses a variety of software programs (e.g. PowerPoint, Camtasia & Adobe Captivate) to develop & refine programmatic learning materials. Determines cost of programmatic activities & provides recommendations or alternatives if needed;collaborates with program vendors to schedule events, develops meeting agendas & programmatic material; works with NSTI vendor to assist with programmatic recruiting (i.e., designs and distributes flyers when needed). Assist OBEO management & staff as needed.

Qualifications
Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college; 12 mos. exp. in secretarial/administrative professional field.
-Or 30 mos. exp. or 30 mos. trg. in secretarial/administrative professional field.
-Or 12 mos. exp. as Administrative Professional 2, 16872.
-Or equivalent of Minimum Class Qualifications For Employment noted above.
