JOB TITLE: Visitor Services and Education Coordinator

CLASSIFICATION: Non-Exempt

DEPARTMENT: CRE/Botanic Gardens

SUPERVISOR: Botanic Gardens Manager

SALARY: $42,450 to $50,940 annually

GENERAL JOB DESCRIPTION

Under the direction of the Botanic Gardens Manager, plans, schedules, publicizes, and executes educational programs for customers. Manages the Tilted Tulip Gift Shop, selecting merchandise, setting prices based upon market research, tracking sales, preparing funds for delivery to City Accounting, and scheduling volunteer cashiers. Collaborates with the Events Coordinator in management of events and rentals of space and in planning merchandise geared for events. Evaluates garden and conservatory spaces to maximize positive visitor experience. Serves as primary contributor for social media efforts and updates the Botanic Gardens website to ensure all information is current and to market educational programs and new merchandise. Collaborates with the Director in development of interpretive, wayfinding, and regulatory signs and provides oversight for fabrication and installation of signs.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Ensure that educational programs held at the Cheyenne Botanic Gardens, not only meet, but exceed expectations by handling all arrangements and scheduling and by marketing them to the full extent possible. To include, but not limited to the following: contacting educators and presenters, negotiating honoraria, booking space, procuring items needed, setting up rooms, managing registration, and operating AV equipment.
  • Respond to public inquiries in a courteous manner; provide information, track registration, and interpret policies regarding refunds and discounts.
  • Market Tilted Tulip Gift Shop merchandise and educational programs at the Cheyenne Botanic Gardens to the public. Remain informed of current trends and new products with profit potential for the Tilted Tulip Gift Shop. Serve as staff contact for Clover Software and utilize Clover to full benefit in Gift Shop sales.
  • Work with the Events Coordinator to anticipate and resolve any conflicts between educational programs and rental of space.
  • Be present for most educational programs to deal with unforeseen problems, direct volunteers and staff, manage logistics, operate audiovisual equipment, and ensure that space is cleared and cleaned at the conclusion of educational programs. Resets spaces if needed to accommodate back-to-back programs. May need to perform basic cleaning tasks to ensure that spaces are presentable and safe for programs.
  • Ensure the safety of visitors, staff, plant collections and facilities by following and enforcing all policies and procedures in the planning and execution of programs and in operation of the Tilted Tulip Gift Shop and by actively monitoring event spaces for unsafe conditions.
  • Regular communication with key staff, including development and distribution of timelines and other documents detailing the various components and timing for tasks and duties involved in preparing for, executing, and cleaning up after programs.
  • Prepare and maintain financial records, reports, and files, which will include billing and depositing funds collected by the Gift Shop and in Educational Programs.
  • Work closely with the Cheyenne Botanic Gardens Foundation in procuring items needed for classes and workshops, in payment of honoraria, and in payment of funds collected to cover expenses for programs.

KNOWLEDGE, SKILLS AND ABILITIES

  • Knowledge of fundamental principles and procedures of gift shop operation and management.
  • Knowledge of trends in marketing and merchandise with the goal of differentiating offerings from items available from other vendors.
  • Ability to develop and implement a marketing plan for gift shop inventory and ability to market classes and merchandise effectively.
  • Ability to provide excellent customer service, when working with potential customers and the public.
  • Knowledge of English usage, spelling, grammar and punctuation.
  • Knowledge of modern office procedures, software, methods, and computer equipment.
  • Knowledge of federal, state, and local laws, codes and regulations.
  • Skills to establish and maintain effective working relationships with those contacted in the course of work including customers, the general public, volunteers and other staff members.
  • Skills to carry out goals, objectives, and procedures of the Cheyenne Botanic Gardens.
  • Skills to be well organized and able to take many diverse projects to completion simultaneously.
  • Skills to maintain effective audio-visual discrimination and perception needed for: making observations, communicating with others, reading and writing, operating assigned equipment.
  • Skill in the operation of audiovisual equipment including microphones, speakers, and projectors.
  • Ability to perform routine mathematical calculations.
  • Skill in responding to requests and inquiries from the general public.
  • Ability to understand and carry out oral and written directions.
  • Ability to communicate clearly and concisely, both orally and in writing.
  • Ability to research information and analyze data to arrive at valid conclusions, recommendations and plans of action.
  • Ability to work as part of a team and independently and to exercise reasonable judgment in decision making.

QUALIFICATIONS FOR THE JOB

Required:

Demonstrated experience in retail marketing and operations, public garden or similar education programs, project coordination, public relations, administration or horticultural science; two years of experience in dealing with the public is required.

Preferred:

Bachelors degree from an accredited college or university with further course work in the field of business administration, public relations, marketing, or horticultural science.

PHYSICAL REQUIREMENTS

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is required to maintain effective audio-visual discrimination and perception needed for making observations, communicating with others, reading, and writing. The employee is also required to maintain physical condition necessary for operating assigned equipment, walking, standing, kneeling, repeated bending or sitting for prolonged periods of time and lifting to 45 pounds. Maintain mental capacity which allows the capability of making sound decisions demonstrating intellectual capabilities.

Working Environment:

Indoor, outdoor and greenhouse environment; confined working spaces; humid air. Exposure to radiant energy and inclement weather. Exposure to fertilizers, agricultural chemicals and pest control agents. Work independently, irregular work hours including evenings and weekends as needed.
