Scanning and Indexing Specialist – Community Health

MHC Healthcare is seeking a Scanning and Indexing Specialist to join the MHC team at the Counseling and Wellness Health Center, located in the heart of Marana, AZ. Scanning and Indexing Specialist is responsible for ensuring patient documentation has been electronically scanned and properly indexed into the patient’s Electronic Medical Record (EMR) chart, ensuring documents are complete, accurate and available for care providers and required staff. MHC Healthcare is a Federally Qualified Community Health Center (FQHC), with 17 sites in Tucson and Pima County. The following qualifications are required:

  • High school diploma or equivalent
  • Fingerprint Clearance Card through the Arizona Department of Public Safety (or ability to obtain upon hire)

The following qualifications are preferred:

  • Medical Records experience
  • Experience working in a health care setting
  • Experience with EMR system

Equivalent combination of education and experience may be considered if applicable and must be directly related to the functions and body of knowledge required to successfully perform the job.

This position has the following supervisory responsibility:

  • Does not direct or supervise others.

Duties and Responsibilities:

  • Scans patient documentation into designated site folders pending indexing.
  • Indexes scanned documents into the patient’s EMR chart to be available for care providers during patient visits.
  • Works out of one MHC location, but may provide scanning and indexing of materials for multiple MHC sites.
  • Works with health centers to move documents from the fax server to site files and then indexes documents into patient’s EMR chart.
  • Assists with printing patient documents for chart audits as requested.
  • Maintains the scanning area in an organized, clean manner, ensuring that all patient documents are organized according to site plan.
  • Assists Manager with requested tasks, including faxing or printing medical documents from EMR and moving and indexing PDF files from the fax server.
  • Assists staff with tasks as they apply to scanning, indexing, or retrieving documentation
  • Works effectively with all patients and families, providing excellent customer service.
  • Participates in meetings, education, and in-service training as required.
  • Maintains strict patient confidentiality and protects clinic operations by following protocol for release of information while complying with all legal and HIPAA requirements.
  • Utilizes appropriate channels for reporting, discussing, and solving problems or concerns, and contributes to team effectiveness by collaborating to solve problems in a constructive manner.
  • Acts as mentor for volunteer staff, new staff, and student externs.
  • Performs other related duties as assigned.
