Position Summary
Under the general supervision of the Division Manager, provides primary administrative support to the 10th Street Community Center while also serving as the frontline representative for the Center, ensuring all visitor initial needs are met. Provides information and resources and maintains a sense of awareness of ongoing activities at all times. Performs a variety of support functions, including administrative responsibility for grants, organization and tracking of all youth/adult program areas, and non-routine duties as needed. This position involves extensive public contact. Work is reviewed through conferences, observation of work in progress and written reports for results obtained and adherence to established policies and procedures.
Examples of Essential Functions
Greets all visitors, verifies identity, and directs to applicable locations and staff.
Maintains a keen awareness of all activities at the Center and advises appropriate staff of needs and/or concerns.
Provides administrative support to include assisting with grants administration; processing employee timesheets, payroll and HR forms; tracking performance evaluations, crafting memos and letters; proofreading documents; maintaining calendars; data entry into various software programs; scheduling appointments; typing and proofreading correspondence, reports, forms, applications, and press releases. Other administrative assignments as needed.
Responds to telephone inquiries and forwards appropriately and timely to other staff or departments as needed.
Researches and writes reports; assists with Resolutions and City Commission agenda items; handles special projects frequently of a very confidential nature.
Ensures the Community Services Department calendar aligns with PTO requests in automated timekeeping system (e.g., Novatime).
Creates advertising materials such as brochures and fliers and notifies community and family members with program information through different media sources.
Gathers, tracks and compiles program information and rosters as needed for grants; inputs data into database; reports outcomes.
Maintains filing systems of correspondence, registration information, forms, revenue, receipts, permits, reports and records.
Operates a variety of equipment and navigates various software packages.
Opens, sorts and distributes correspondence; monitors inventories and requests for supplies and equipment; may maintain offices and gathering spaces for general cleanliness and safety.
Schedules facility and park rentals, meetings and activities.
Accurately handles incoming revenues, deposits and refunds.

Minimum Qualifications
High School Diploma or equivalent, supplemented by two (2) years of responsible administrative and customer service experience. Experience must include use of computers and various software applications. Valid Florida Driver’s License as required for position.
