Performs advanced secretarial and administrative work for one or more administrative, professional or technical employees. Performs skilled typing and filing of routine and confidential reports and records. Processes departmental documents in accordance with established and accepted policies and procedures. May serve as lead worker to other clerical employees.
Major Job Responsibilities:
- Types, sorts and files correspondence, invoices, statements, legal documents, reports and other materials from dictating machine, copy of hand written notes; composes and types letters, memos, notices, lists and other material; enters information on personal computer, composes and edits on screen, and prepares final copy of reports and correspondence.
- Interviews, screens, and refers callers; answers various inquiries personally; provides information on departmental services and functions; maintains appointment schedules; orders office supplies.
- Compiles, copies, and completes data for administrative and public reports, bulletins, questionnaires, and other documents; makes various computations on material assembled.
- Receives and distributes departmental phone calls; coordinates and schedules meetings; receives, sorts, stamps, and distributes departmental mail; receives and distributes various documents and inter-departmental forms.
- Receives and responds to citizen inquiries by researching and providing appropriate information regarding the department’s services, operations, or procedures.
- Orders, verifies receipt, and maintains office equipment and supplies; places supply orders and initiates service calls on copiers, personal computers, printers, telephones, etc.
- Assists in the preparation of departmental budget; posts daily revenue received by the department; maintains departmental petty cash account.
- Performs special assignments and assists other clerical staff in performing their duties.
- Serves as lead worker to other clerical staff; trains and instructs clerical staff in performing their duties.
- Performs related work as required.
Knowledge, Skills, Abilities and Competencies:
- Knowledge of secretarial practices and procedures.
- Knowledge of modern office equipment, practices and procedures.
- Knowledge of assigned department operations and organizations or ability to acquire such knowledge during a reasonable period of training.
- Knowledge of business English, spelling, arithmetic and vocabulary.
- Ability to serve as lead worker to subordinate clerical staff on a permanent or intermittent basis.
- Ability to work within the parameters of the Core Values and Mission of the agency.
- Ability to make independent decisions in accordance with established policies and procedures.
- Ability to take and transcribe dictation if required by office procedure.
- Skill in taking and transcribing dictation and in the care and operation of a typewriter or personal computer.
- Ability to perform all essential job functions within policies, procedures, rules & regulations.
- Have no history or subsequent conduct that renders the employee unusable as a witness.
Qualifications: High school diploma or equivalent supplemented by courses in secretarial science. Three years of experience in responsible secretarial work or any equivalent combination of training and experience which provides the required knowledge, skills, and abilities. No record of criminal conviction, diversion, or expungement of any felony or crime of dishonesty, or the equivalent under the uniform code of military justice. Typing: 45 wpm, 80% Reading Comprehension, Data Entry: 7500KPH.
