Administrative Assistant| CFG Bank Arena

Overview

The Administrative Assistant will provide administrative support to the Director of Human Resources, as well as to the General Manager. Administrative duties may include, but are not limited to, assisting with payroll, handling various HR related tasks and record keeping practices, general clerical duties, and management of office equipment and supplies.

It is critical that the Administrative Assistant have the ability to multi-task, organize and prioritize tasks, and willingly assist OVG staff where needed. In light of the sometimes seasonal and event-driven nature of our business, the successful incumbent will have the ability to focus on and prioritize the administrative duties that are most critical and time-sensitive.

This role will pay a wage of $26.50.

Responsibilities

Essential Duties & Responsibilities:

  • Provide general office and administrative support including but not limited to…
    • Data entry
    • Sorting mail
    • Record keeping
    • Reporting
    • File maintenance
    • Expense reimbursement
    • Calendar management for meeting areas such as the conference room
    • Maintaining office clerical equipment (i.e., copiers, printers and postage machine)
    • Order/manage office supplies.
    • Maintaining general information lists for other staffers to access
    • Assist with meeting organization, note taking and setup.
    • Assist with greeting/arranging arrival of visitors.
    • Manage emails, calendar, schedule meetings, coordinate travel arrangements.
    • Providing general office automation/clerical support: copying, faxing, filing, correspondence, telephone answering
    • Other duties as assigned.

  • HR
    • Record keeping

    • File maintenance
    • Assist with hiring efforts and employee onboarding
    • Assist with workers comp claims, unemployment claims and OSHA logs as necessary
    • Occasionally provide additional support during Arena events, or other special events for employees.
    • Assist with updating manuals and policies.
    • Assist with various HR projects.
    • Relaying any accounting, HR, employee relations, safety, policy or procedural concerns, and any situation that may result in disciplinary action, to appropriate management in a timely and responsible manner.
    • Other duties as assigned.

Qualifications

Required Experience & Qualifications:

  • 2-3 years of relevant work experience as an Administrative Assistant
  • High School graduate or equivalent, AA or Bachelor’s degree a plus
  • Excellent organizational skills
  • Demonstrated attention to detail.
  • Ability to learn quickly, open to change and enjoy the challenge of unfamiliar tasks.
  • Must be able to work in a fast-paced environment and ambiguous environment; handle multiple tasks with the ability to re-prioritize and shift priorities quickly.
  • Strong verbal and written communication skills
  • Ability to write reports and business correspondence.
  • Highly organized with good coordinating/project management skills and ability to meet tight deadlines and work in a high-pressure environment.
  • Ability to analyze problems involving many variables.
  • Proficient in MS Office, Excel and Powerpoint
  • High level of demonstrated professionalism, integrity and ability to maintain sensitive information and appropriate decorum
  • Team player with a positive attitude, professionalism, resourcefulness, integrity, motivation, and a strong work ethic

  • Ability to work flexible hours including evenings, weekends, and holidays

Working Conditions:

  • Minimal Travel (<10% travel): May be required to travel. Trips may require air travel and/or overnight stay away from home for one or more nights.
  • Must be able to work a flexible schedule inclusive of weekends, nights and holidays required
  • Frequent bending, lifting 15-20 pounds, sitting, exposure to multiple external elements, extensive walking through the building.
