Job Description

This position is responsible for providing administrative/clerical support to the assigned department. The role is responsible for assisting with day-to-day functions of the assigned department and for performing a variety of administrative support tasks.

Essential Duties and Responsibilities

  • Creates requisitions in Oracle for materials and services as requested by Management
  • Maintains and follows up on the full purchase order cycle by tracking delivery, following up with vendors and filing of all completed Material Request Forms and invoices
  • Helps assist with the on boarding of new employees. This includes, ensuring new hires are setup for their driving course, uniforms ordered etc
  • Maintains employee records in SharePoint and updates when necessary
  • Helps obtain new suppliers and acts as a point person for existing suppliers and contractors
  • Updates the Department Managers and requesters on requisition and purchase order status on a weekly basis
  • Tracks information on spreadsheets and/or other task management software and databases
  • Provides additional office support such as research, organizing documents, filing, scanning, and mailing
  • Helps coordinate and plan department and division meetings when necessary
  • Assists the Office Coordinator with department projects and timelines as necessary
  • Compiles and distributes all invoices for the executives once approved by the Executive Director
  • Meets with the Office Manager weekly to address any concerns or questions within employee relations
  • Manages the ADP account for the department by ensuring compliance in daily punches, processes sick/vacation requests and approving timecards at the end of the pay period

Qualifications

  • Minimum of 3 years of administrative experience is required.
  • Must be proficient in computer skills, with knowledge and skill in Microsoft Windows, Word, Excel, Outlook and PowerPoint required; experience with Oracle Fusion, SharePoint and HotSOS, preferred.
  • Experience in facilities, maintenance, operations, or construction industry is preferred.

Education & Certifications

  • High school diploma / GED – required.
  • Associates or Bachelors – preferred.

Skills/Knowledge

  • Ability to communicate in Spanish verbally and written is preferred.
  • Professional and highly discreet with maintenance of absolute confidentiality
  • Extremely well organized and attentive to detail
  • Positive attitude, collegial, and willing to assist the team as needed, with a sense of enjoyment in work well done.
  • Ability to multi-task and prioritize deadlines/deliverables.

The physical demands described are representative of those that must be met by a team member to successfully perform the essential functions of this job. While performing the duties related to this position the team member is occasionally required to stand; walk; sit; use hands to handle or feel; reach with hands and arms; climb or balance; stoop; kneel; crouch or crawl; bend; and talk or hear; Specific vision abilities required by this job include close vision. The team member must occasionally lift and/or move up to 25 pounds. The team member will regularly visit construction sites.

Language Skills
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other team members of the organization.

Mathematical Skills
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.

Reasoning Abilities
Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to define problems, collect data, establish facts, and draw valid conclusions.

Work Environment
The majority of the work involved in this position will be conducted from an office or other field office.The work environment characteristics described here are representative of those a team member encounters while performing the essential functions of this job.
