Administrative Associate II / Administrative Associate III

This is an excellent opportunity for an energetic individual who is self-motivated, organized with great time management skills, approachable, an effective communicator, and comfortable interacting with many levels of company management.

What You’ll Do:

  • Provide a wide variety of administrative tasks for department directors and management teams with the support of other department administrative assistants.
  • Maintain leadership calendars and make conference room reservations, all within Microsoft Outlook.
  • Coordinate and book business travel and process expense reports in a timely fashion.
  • Partner with accounting department to coordinate payment of invoices and other expenditures.
  • Assist in the coordination of milestone celebrations, all-hands meetings, team meetings, and networking events.
  • Capture and track actions identified in meetings and from department assessments to close.
  • Manage the entire interview process with internal and external candidates; schedule phone screens and interviews, partnering with talent acquisition department to ensure smooth and timely processing of all applicants.
  • Gather data, and perform computer data entry, retrieval, and word processing.
  • Maintain SharePoint sites and databases, as necessary.
  • Prepare new hires for success; process department onboarding tasks and coordinate training, supplies, meetings, etc.
  • Manage office move requests, working seamlessly with other departments for maximum efficiency.
  • Responsible for department product orders through proper purchase card handling and timely credit card reconciliations.
  • File and retrieve records, folders, or other materials.
  • Work with sensitive and confidential information and situations, handle situations appropriately, and maintain proper confidentiality.
  • Assist on projects in various functional/program areas as assigned.
  • Learn and become proficient in Ball enterprise systems, procedures, and office equipment.
  • Maintain a regular and predictable work schedule.
  • Establish and maintain effective working relationships within the department, the Strategic Business Units, Strategic Capabilities Units, and the Company. Interact appropriately with others in order to maintain a positive and productive work environment.
  • Perform other duties as necessary.

What You’ll Need:

  • Administrative Associate II – High School diploma or equivalent plus 2 or more years of related experience.
  • Administrative Associate III – High School diploma or equivalent plus 4 or more years of related experience.
  • Each higher-level related degree, i.e., Bachelor’s or Master’s, may substitute for two years of related experience. Degree must be from a university, college, or school which is accredited by an agency recognized by the US Secretary of Education, US Department of Education.
  • A high sense of team ownership and the initiative to identify and complete tasks to keep the team operating.
  • An engaging approach and ability to establish communication with widely varying personality types.
  • Solid organization, scheduling, and time management skills.
  • Ability to commute between 2-3 Ball local campuses, when necessary.
  • Proficiency with Microsoft Office suite.
  • Familiarity with Microsoft Teams, SharePoint, Concur, and Deltek preferred.

Flexible On-Site Work Environment: This position requires regular in-person engagement by working on-site for three or more days per work week. Travel and local commute between Ball campuses and other possible non-Ball locations may be required.

Compensation & Benefits:

  • HIRING SALARY RANGE FOR ADMINISTRATIVE ASSOCIATE II: $19.47 – $25.96 per hour (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
  • HIRING SALARY RANGE FOR ADMINISTRATIVE ASSOCIATE III: $20.91 – $28.13 per hour (Salary to be determined by the education, experience, knowledge, skills, and abilities of the applicant, internal equity, and alignment with market data.)
