Your Role at Baxter

As the Executive Assistant for R&D and Clinical Front Line Care business unit, you will work directly with VP of R&D, VP of Enterprise Connectivity, and VP of Clinical. You will be responsible for performing a number of administrative duties. The ideal candidate is highly self-motivated, professional, and capable of running their workload and prioritizing tasks in a fast-paced corporate environment. You will conduct a variety of other projects and activities supporting executive management.

Your Team

The Executive Assistant is a trusted member of the team who provides administrative support in a highly confidential matter. In addition to traditional administrative duties (correspondence, calendaring, setting up video conferences, etc.) you will interact with members of the Baxter organization at all levels from CEO, other ELT members, as well as all colleagues around the globe.

The Executive Assistant will also be responsible for handling the planning and execution of many events (company picnic, celebrations, fundraising events, quarterly meetings, etc.) as well as interact with and schedule high-level executive talent visits.

What you’ll be doing

  • Screening calls, handling calendars (Outlook), expense management (Concur), correspondence, and other scheduled communication of assigned leaders
  • Coordinate and support leadership team meetings and projects
  • Plan and coordinate domestic and international flights, local travel, hotels, and related arrangements including visas and meals for assigned leaders
  • Prepare correspondence and other written material as requested including but not limited to, organizational announcements, reporting, editing presentations, etc.
  • Report departmental expenses and lead all functional reporting
  • Updates job knowledge by participating in educational opportunities; reading professional publications
  • Coordinate with other administrative staff on projects, meetings, and other tasks as assigned

What you’ll bring

  • High School Diploma is required; Associate’s or Bachelor’s degree in Business, Marketing or a similar area is highly desirable
  • At least 3 years of related experience in administrative support for corporate executive leadership
  • Power user of the Microsoft Office Suite – Outlook, Excel, PowerPoint, Word, etc.
  • Polished written and verbal communication skills and able to interact with the senior leadership team
  • Experience interacting with a geographically dispersed team
  • Ideal candidate will have a can-do mentality, take charge when needed, and will demonstrate flexibility
  • Excellent interpersonal skills to work with people at all levels internally and externally
  • Strong organization and project management skills
  • Able to handle multiple requests from multiple parties at once and prioritize
  • Sensitivity to confidential matters

We understand compensation is an important factor as you consider the next step in your career. At Baxter, we are committed to equitable pay for all our employees, and we strive to be more transparent with our pay practices. To that end, this position has a base salary range of $36,000 to $90,000. The above range represents the expected base salary range for this position. The actual salary may vary based upon several factors including, but not limited to, relevant skills/experience, time in the role, business line, and geographic/office location.
