Position Title

Assistant to the Chief Human Resources Officer

The Opportunity

The Assistant to the Chief Human Resources Officer (CHRO) has the primary role of directly supporting the CHRO in their initiatives, operations, daily activities, calendar/events, projects, documents and communications within HR organization. In this role, you will work independently and with the CHRO to provide support, professional direction, guidance, logistical oversite and serve as an interface between the CHRO and internal and external constituents. You will provide proactive administrative support for the CHRO and plan, organize and prioritize projects and events as they occur. The CHRO relies on you to manages HR’s budget, contracts, expenses and purchase approvals and oversees five Mines Community Alliances budgets. You will be responsible for drafting, editing, and disseminating confidential and time-sensitive materials and communications.
Success in this role requires thoughtful communication, excellent organizational skills, and ability to seamlessly move through many activities throughout the day. This is a hybrid work environment. You must live within commuting distance of Colorado School of Mines and should plan to work on our beautiful campus 2-3 times a week or as events require.

Responsibilities

Specific responsibilities include:
Administrative Support

  • Provide support to the CHRO, their initiatives, projects, day-to-day calendar management and activities.
  • Support the CHRO in a proactive, organized, collaborative, manner with the goal of minimizing the administrative burden of the CHRO and keeping them apprised of relevant and timely needs.
  • Serve as the staff liaison to internal and external constituents who may include executive leaders, cabinet members, deans, department heads, employees, job candidates, colleagues, and vendor partners. The
  • Assistant also coordinates mass electronic communication and notifications to all employees

HR Department Management

  • Implement the mechanics of the HR budget on behalf of the CHRO. This includes submitting purchase requests, paying invoices, reviewing expenses and tracking contracts, POs and change orders, using Excel spreadsheets, Workday, and other financial systems as required.
  • Hire and supervise student workers that assist with projects within the HR office.
  • Manage meetings, celebrations, events, and projects independently with minimal guidanc
  • Triage incoming HR requests and resolve, escalate, or direct to the appropriate partner.

Presentations, Communication, Website, Documentation

  • Review, prepare, and draft presentation materials and other documents as necessary ensuring that the documents, presentations, and materials are timely, accurate, complete, inclusive, and professionally formatted.
  • Manage the HR website and monitors content, ensuring that it is current, relevant, and properly formatted and work with others to ensure the same with related web pages.

Minimum Qualifications

  • BA/BS degree or progressive administrative experience in an executive assistant or office manager role.
  • 4+ years of experience providing support, professional guidance, direction, and interfacing with executives
  • 4+ years professional organizational skills in a complex organization, including experience supporting the initiatives, operations, and daily activities for a leadership-level position. Detail orientation ensuring accuracy and content validity. Experience with high-level decision-making, planning, organizing, monitoring, prioritization, and collaborating.
  • Excellent written and verbal communications and interpersonal skills and experience composing professional-quality documents including letters, presentations, and reports, and experience creating, reviewing, and developing documents, presentations, and materials, primarily using MS Word, Teams, PowerPoint, and Excel, and Video Conferencing.
  • Experience working with confidential and sensitive materials and information.

Preferred Qualifications

  • Knowledge of academic practices and administration; experience in higher education.
  • Experience with Workday.
  • Experience with WordPress or other content management system.

Pay Range

$62,000 – $70,000
Mines takes into consideration a combination of candidate’s education, training and experience as well as the position’s scope and complexity, the discretion and latitude required in the role, work location, and external market and internal value when determining a salary level for potential new employees.
