HealthPRO Pediatrics is seeking a Front Desk Coordinator to work at our Colorado Springs, CO market!
We are a growing and thriving outpatient pediatric clinic providing services for children with special needs in our clinic and through our early intervention programs in the field.
- Full time position 40 hours weekly
- Competitive compensation between $20.00 – 24.00/hour DOE

The overall role of the Front Desk Coordinator/Scheduler is to optimize patient care by insuring all provider schedules are maximized. The Front Desk Coordinator/Scheduler’s key responsibility is to provide exceptional customer service. They work collaboratively with all providers within the multidisciplinary clinic and reports to the Center Director to ensure the highest standard of care.

Responsibilities
Duties and responsibilities:
Responsible for ensuring families are welcomed and checked in efficiently
All Inbound calls will be answered during business hours
Any voicemails left before 5:00 PM will be followed up on in the same business day. Any voicemails left after 5:00 PM must be followed up on by 10:00 AM the following day
• Patient check in and collecting copays/payments (credit card error follow up)
• Primary phones, front lines for cancels, reschedules and no shows
• Cancelling and rescheduling for sick therapists and managing PTO coverage for therapists
• New patient intakes, referral tracking, new patient entry
• Call and email reminders for evaluation consents and medical history, follow up that patient responsibility is understood and attempt to collect a credit card ahead of time
• Scan paperwork from evaluations and new patients (or delegate to aides)
• Ordering of PPE and Office Supplies
• Ongoing scheduling, scheduling changes, monitoring of waitlist and “scheduling in progress”
• Maintain timely follow up of referrals and updates in KEAP
• Monitoring cancellation log and holes in schedules for filling reschedules and pop ins,
• End of Day, Cancellation Report, Appt Summary Report, Credit Card Transaction History, Unpaid Copays, and Patie
Qualifications
Qualifications:
• Minimum of High school equivalent or higher.
• Minimum of one-year administrative experience
• Proficient in Microsoft Word, Excel, Publisher
• Ability to multitask
• Efficient problem-solving skills
• Must possess excellent organizational and time management skills.
• Exceptional communication skills are also necessary
• Preferred candidate will have the ability to accomplish both individual and team goals
• Must keep client and family satisfaction at the forefront of all activities.
