Invoicing Clerk

The Accounting/Invoicing Clerk will calculate and prepare accurate and timely invoices of shipments to assure a timely cash flow from customers and provide management with detailed sales reports on all locations.

Principal Responsibilities:

Invoicing / Accounts Receivable

  • Enter the necessary system transactions to invoice customer orders in SAP.
  • Understand and utilize numerous customer portals where transactions are communicated with customers.
  • Ensure orders are invoiced in a timely manner once shipment notification is received.
  • Create and disseminate invoicing reports to management.
  • Proactively monitor customer sales orders for shipment and billing status, to clear backlogs and mitigate potential roadblocks under the guidance of the Invoicing Supervisor.
  • Ensure that company protocols are being followed to facilitate compliance with established internal controls.
  • Paperwork is properly filed in folders to meet department policy.
  • Provides backup coverage within invoicing team as needed.
  • Assists with special projects/reporting as assigned.
  • Supports invoicing customers, invoicing freight, and matching records for payment.
  • Develops and maintains detailed written desk instructions covering all major responsibilities.
  • May perform additional clerical responsibilities including mail distribution, filing, and general administrative tasks.
  • Participates and contributes to company safety program.

General Accounting

  • Complete month-end tasks including reports / reconciliation, journal entries, accruals, other tasks as directed.
  • Assists the Invoicing Supervisor with account reconciliation, reporting, analysis.
  • Performs other duties as assigned.

Qualifications:

  • Education: Associate’s degree (A.A.) or equivalent from two-year college or technical school
  • Experience: Six months to one-year related experience and/or training
  • License/Certification: NA
