General Description
Provides primary administrative support for HR administration. Work is performed under general supervision without specific instruction. Contacts are made at all organizational levels within and outside the department and division. Requires handling of confidential information and dealing tactfully with the public. Ability to prioritize and multitask to ensure work is completed by deadlines.
Essential Job Functions
- Performs the administrative work required to ensure the efficient operation of the HR office. Prepares letters, screens visitors, receives/makes telephone calls and distributes mail. Responds orally and in writing to routine inquiries from within and outside the school division.
- Assists with the recruitment process by creating job postings in the applicant tracking system, sending relevant correspondence to applicants, and fielding questions.
- Assists the Substitute Department with applicant screening and processing.
- Assists with the preliminary screening of applicants within the applicant tracking system.
- Ensures that all required documents, such as transcripts, references or licenses, are submitted timely.
- Answers routine questions regarding policies and procedures for current and former employees, applicants and outside agencies, directing non-routine matters to the appropriate individual.
- Helps monitor the careers.net email on a daily basis for employment inquiries.
- Assists in job fairs and other applicant events through preparation, setup at site, and organization of materials afterwards.
- Processes verbal and written employment verification requests for current and previous employees and VEC unemployment requests for former employees.
- Performs receptionist duties, including covering the main Human Resources front desk when needed, and distributes incoming internal and US mail for Central Office on a rotating schedule.
- Runs data reports within the applicant tracking system as needed.
- Performs miscellaneous tasks as needed, i.e. notarizes documents, serves back up for pre-employment processing, processes employee verifications, immigration paperwork, updates orientation schedule, etc.
- Enters employee data into the HRIS or other databases as required.
- Responds to inquiries from internal and external stakeholders on a variety of topics including, but not limited to, application status, licensure requirements & status, School Board Policies and other employment practices.
- Maintains recruitment, personnel or licensure documentation as required by law. Create appropriate physical or electronic files.
- Processes employment actions initiated by the Administrator and sends appropriate correspondence to the employee.
- Coordinates the interview process, i.e. orders food/supplies and prepares interviewer packets, schedules interview, etc.
- Maintains employee actions database for reporting and tracking purposes.
- Performs other duties as required.

Qualifications
Considerable knowledge of office practices and procedures, policies and school division programs. Intermediate technology skills to include operation of personal computer, spreadsheets, documents and presentation programs in the Google platform. Demonstrated ability to: maintain automated databases and provide routine reporting; edit work for proper grammar, spelling and punctuation; interpret and apply policies and procedures; communicate effectively both orally and in writing; exercise judgment and to work effectively with all levels of the organization and the public. Knowledge of records management in order to maintain various personnel files properly, purge files as needed. Ability to maintain accuracy in a high volume atmosphere.
Requirements
GED or High School Diploma. Demonstrated skill with Google Docs, Sheets and Slides. Prior experience providing clerical support to executive or administrative staff is required. Prior experience in a Human Resources setting strongly preferred.
