Description
Performs various clerical tasks specifically related to Housing Program activities. Performs related duties as assigned.
An employee in this classification provides the public with accurate information and assistance on matters pertaining to the Housing & Social Services’ Housing Programs. Work includes providing groundwork and follow though necessary to assure a project goes through the proper process from the inception to closing. Work will involve use of office equipment.
Essential Job Functions
Assist the public in completing general housing applications;
Assist with the intake and screening of applications for housing programs;
Preparing and updating applicant project file;
Retrieves materials from files upon request;
Answering public inquiries regarding the various housing programs as administered by the department;
Answers and directs telephone calls;
Schedules meetings and appointments;
Assembles a variety of data from office records for various reports and inputs data into computer;
Prepares and publishes legal notice of public hearings;
Obtain information on legal ownership of properties through the County Assessor’s Office;
Prepares and maintains current mailing list of applicants;
Routes information to Housing & Social Services department and other City departments;
Inputs invoices, purchase orders and change orders requests and legal documents as it relates to the Housing Program;
Prepares meeting agendas, makes copies, handles mail and follow-up on notices;
Sorts and files materials alphabetically, numerically or by other predetermined categories;
Provides clerical assistance to Housing staff;
Assists in any other duties assigned by supervisor.
EQUIPMENT USED/JOB LOCATION:
Personal computer, typewriter, calculator, copier, fax machine, scanner, multiple telephone lines and other general office equipment, as well as equipment developed or advanced from future technology as required by the job.
Minimum Requirements
High school diploma or G.E.D. plus some experience in clerical work involving public contact.
Skills
Knowledge of modern office practices and procedures;
Ability to read and write (English & Spanish);
Ability to understand and follow oral and written directions;
Ability to make mathematical or basic arithmetic computations with accuracy;
Ability to perform clerical support duties accurately;
Ability to accurately maintain clerical records and prepare simple reports;
Ability to make minor decisions in accordance with established policies;
Ability to effectively meet and deal with the public with tact and courtesy;
Ability to communicate effectively, verbally and in writing;
Ability to establish and maintain effective working relationships with other employees and the public;
Ability to provide and/or collect information from other department and the public by telephone and/or in person;
Ability to periodically access sensitive information required to perform job tasks, which requires the ability to maintain confidentiality;
Ability to handle stressful situations;
Some proficiency in typing and use of word processing, spreadsheet and presentation computer software;
Physical ability to perform duties;
This is sedentary work in an office setting. While performing the duties of this job, the employee is frequently required to stand, sit, walk, stoop, talk, hear, reach above and below shoulders, use hand and finger dexterity, keyboarding.
Must have excellent verbal/written communication skills in English;
Spanish a must (verbal/written).
