Becoming an Administrative Assistant II at the Lake County Division of Transportation will allow you to directly support the Planning group and interact with other division department heads, engineers, maintenance team members, residents, elected officials, and other departments across the County. Your day will consist of performing administrative tasks related to directly supporting the Planning group and the needs of the department.

Regular hours of work are Monday through Friday, from 8:00am – 4:30pm. Alternative work schedules are available including varying start
Essential Functions

  • Provide exemplary administrative support to the Planning group and backup to the other DOT assistants and staff as needed Perform clerical duties as assigned including but not limited to answering phones, emails, managing meeting schedules, routing correspondence, and filing official records
  • Create resolution templates for staff and proofread all resolutions before submission
  • Coordinate with other departments and outside agencies to obtain approvals for contracts and agreements, and update tracking database
  • Provide front reception desk coverage including routing phone calls, processing mail, answering RING doorbell, and responding to DOT emails
  • Coordinate and participate in public meetings and communications

  • Expertise: knowledge of general business office procedures Communication: strong oral and written communication skills Customer Service: provides prompt and courteous customer service
  • Results Oriented: possess the ability to effectively problem solve, be extremely organized, have good time management skills, and can work both individually and in a team atmosphere
  • Detail Oriented: completes tasks and drafts executive correspondence free of errors and omissions
  • Technology: be proficient in Microsoft Excel, Word, and Outlook (Legistar and OnBase)

Education and Other Requirements

  • Completion of a high school diploma or general education degree (GED) equivalent
  • Completion of two years of college level programs with course work in public or business administration, or equivalent training or work experience
  • Three years of experience as an administrative assistant or comparable position
  • Paralegal, or experience with writing agreements preferred

Physical Demands

Requires sedentary work involving standing or walking for brief periods, exerting up to 10 pounds of force on a regular basis; and some dexterity in operating machines, tools, or office equipment.
