Executive Administrative Assistant – 30 to 34 hrs per week

  • Greet clients, visitors, and employees with a warm and friendly demeanor.
  • Manage the front desk area, including maintaining a clean and organized reception area.
  • Ensure all visitors are signed in and provided with appropriate access.
  • Provide comprehensive administrative support to the CEO.
  • Prepare and distribute internal memos and other documents as needed at the CEO’s request.
  • Exercises judgment to reflect the CEO’s style and company policy.
  • Schedule appointments, meetings, and conference room bookings including any necessary logistics, meals and travel arrangements.
  • Draft accurate and concise committee minutes for both board and management committees, capturing key decisions and actions in a timely manner.
  • Assist with the coordination of company events such as bank party, leadership retreats, holiday ham delivery, economic forums and conferences. Attendance at events to coordinate logistics on site may be required including overnight travel when necessary.
  • Assist with maintaining building supplies such as paper, toner, kitchen and board room inventory.
  • Centralized mail sorting, routing and date stamp for mail received at the Skyview admin center.
  • Sign for and direct all incoming and outgoing packages at the admin center.
  • May also include responsibilities for building security, alarms and overall general building needs.

Committee Responsibilities:

  • Attend committee meetings and accurately document all discussions, decisions, and action items.
  • Committees include but not limited to Management ALCO, Deposit Pricing, IT Steering, Management compliance, Board ALCO, Audit, IT, Compliance/CRA and Nominating Committee.
  • Prepare clear and concise committee notes that capture key points, outcomes, and next steps.
  • Organize and maintain a comprehensive database of committee notes for future reference and accessibility.
  • Manage and maintain calendars, schedules, and appointments for committee members.
  • Coordinate meeting logistics, sending out meeting invitations, and distributing relevant documents before committee meetings.

Education/Knowledge/Skills & Abilities

  • High School diploma or equivalent.
  • AA or some college coursework preferred related to business administration.
  • 1-3 years’ experience working in Banking or a related field.
  • Proven experience as a secretary, administrative assistant, or in a similar role.
  • Experience working with Committees, taking and producing minutes.
  • General communication (oral and written); clear voice communication; business telephone etiquette; distribute and exchange information with others; interaction with managers, employees, regulatory agencies, industry peers, customers, communicate/work with confidential information; compose draft written materials, correspondence/memoranda, reports, publications.

  • Salary range for this position is $23.00 to $27.00 per hour. The specific salary offered will depend on several factors including but not limited to applicant’s knowledge, skills and experience relevant to the position.
