MANAGER-GRANT ACCOUNTING AND PAYROLL
POSITION SUMMARY: Manage grants accounting by providing grant budgets, reports, applications and tax reports to satisfy grantor and/or state, federal requirements. This includes revenue recognition related to grants. Supervise and coordinate activities of the Payroll Associate. Perform other general accounting duties as required including budgeting and preparation of financial reports with the Prophix software.
Accountable and responsible for the following results:
- Directs the Payroll Associate. and Staff Accountant
- Oversees payroll processing including quarterly and annual reconciliations of tax reporting, payroll allocations to the general ledger. Provides backup for payroll processing when needed.
- Reconciles H.S.A./ FSA accounts and other payroll related accounts.
- Prepares, or reviews and submits monthly and/or quarterly reports, and payment requests for state and other grantors as required and ensures compliance with Federal and State requirements such as OMB A-133.
- Prepares grant budgets, revisions and applications related to renewal and new applications as requested.
- Updates the Grant receivable workpapers monthly and records monthly journal entries to ensure accurate recognition of grant revenue.
- Works with and reconciles monthly donations and fundraising activities between finance and development donation records.
- Works with Directors and Managers on monitoring grant expenditures.
- Prepares and submits monthly sales tax returns.
- Assists and/or develops reports and budgets in Prophix software.
- Prepare incoming checks for deposit: complete deposit tickets, log on cash receipts daily sheets, and record ACH deposits daily. Prepare cash receipts journal for data processing.
- Reconciles all bank accounts and American Express accounts.
- Maintains files and confidentiality of all financial information.
- Fulfills all compliance responsibilities related to the position.
- Assist with auditors as needed.
- All other duties and responsibilities as assigned.
- Provide backup duties as requested.
- May be required to use own vehicle on company business.
Qualifications
- Bachelor’s degree in accounting and five years related experience.
- Non-profit accounting experience preferred. Computer experience including Microsoft Excel, MAS 90 or other similar accounting software.
- Must have and maintain an acceptable driving record and be insurable at a reasonable rate under the Organization’s auto insurance plan.
