POSITION OVERVIEW:
The Event & Alumni Relations Coordinator has an integral role within the Institutional Advancement team and is responsible for managing the coordination and execution of all development and alumni engagement events. The coordinator is also responsible for coordination of alumni communication to foster excellent alumni relations with Dunwoody College’s alumni program. Reporting to the Director of Development & Alumni Relations, the Event & Alumni Relations Coordinator will work closely with the Director on engagement and cultivation of alumni.
POSITION RESPONSIBILITIES/FUNCTIONS:
Event Management (55%)
- Organize and execute alumni, friends, and donor IA special events.
- Assist with planning and execution of alumni engagement events and stewardship events.
- Coordinates with marketing department to promote events to targeted audiences, including the design and drafting of website content, digital and print materials, and other collateral.
- Prepares and executes detailed event planning timelines and task lists to effectively track progress of event.
- Work with Director to integrate fundraising strategies and activities with development and alumni events.
- Facilitates external volunteer groups
- Coordinates facilities and space logistics and manages equipment needs.
- Determines and coordinates staffing needs for individual events.
- Manages event logistics with support from the team including technology arrangements, name tags data entry, staging of events, and general event oversight for events.
Alumni Relations Engagement (35%)
- Collaborate with the Director and the marketing department to manage, create, and deliver appropriate alumni and friend communications.
- Respond to requests for tours, phone calls, emails, condolence notes, etc.
- Connect with alumni and friends as appropriate to develop long-term relationships.
- Work closely with the development team on alumni outreach, and engagement strategies.
- Assist the Director in the activities of the Alumni Association Board.
- Work closely across college departments to build awareness of the alumni program, benefits, and opportunities.
- Work with the Director to execute annual plan for alumni outreach and coordinate the alumni & friends awards and recognition programs.
- Other duties as assigned by the Director.
Additional Development Support (10%)
- Support projects, events, and processes at all levels in response to the needs of the Institutional Advancement team, especially as it relates to events and alumni relations.
- Assist in marketing support and list management
- Assist in building a culture of philanthropy that attracts large/national, regional, and local donors.
Essential Job Functions
- Ability to work 40 hours per week.
- Excellent computer skills including proficiency in Microsoft Office: Outlook, Word, Excel, and PowerPoint.
- Ability to learn new computer programs and database management systems and demonstrate proficiency given adequate training.
