Job Description
The Special Projects Managing Assistant is responsible for assisting the Director of Special Projects and Special Projects Design team through all stages of the development process, from conceptionup to mass production. Additional duties of the Managing Assistant include providing administrativeassistance to optimize the effectiveness and efficiency of the Director of Special Project’s team.
ESSENTIAL JOB RESULTS-
- Monitor the development status reports, tracking the status of development projects.
- Add new styles / colorways including, but not limited to the following tasks:
- Inform all relevant parties of product information (e.g. Line Sheet Coordinator, Costing Dept, Allocations, lnt’l Dept, Technicians, etc).
- Provide Asia R&D with go by information for further samples.
- Work with Design team, Technicians, Costing Dept and Asia R&D as directed.
- In coordination with division Merchandiser or Senior Product Manager, review and approve confirmation samples; manage the confirmation process by coordinating design and technical input and approving confirmation samples on a timely basis.
- Communicate with Designers, Technicians and Merchandisers on a daily basis.
- Keep division merchandiser informed of any relevant issues arising during all stages of the product’s development.
- Manage all running changes and communicate this information as directed.
- Review first production cases to ensure production matches confirmation samples.
- Understand fashion trends and directions through international and domestic travel, shop the markets and research competition. Build market research, seasonal product strategies, trends and mood boards as directed.
- Provide administrative assistance and support to Director of Special projects. Additional duties and responsibilities may include but are not limited to the following:
- Prepare and distribute various forms, PDF, Word, Excel, PowerPoint documents, etc.
- Prepare and submit travel requests and expenses.
- Coordinate in-person/online meetings for the Special Projects management team including scheduling, planning, printing and shipping.
- Purchasing and organizing store bought samples as directed.
- Assist managers with SkechForce time management and approvals.
- Manage communication including emails and phone calls.
- Maintain files, contact lists and databases; preserving, organizing, scanning, updating records, and distributing (where approved and applicable), including but not limited to public network drive, intranet, physical/electronic records, etc. (all according to company information governance policy).
- Outreach to IT for technical support as needed.
- Participate in sales conferences, trade shows, meetings, and special events as directed.
- Perform various assignments, duties, and assist with projects to support special projects administration.
- Help resolve daily issues that come up within the department.
- Assist sales and retail team with product related questions and keep them informed of relevantchanges to the product.
- Liaison between all product, Marketing and Graphics Dept on a variety of projects.

EDUCATION AND EXPERIENCE-
- Bachelor of Arts degree in business, communication, marketing, or related experience is preferable.
- 3+ years of progressive administrative and/or coordinator experience, including support of multiple managers and involvement in concurrent project coordination.
- One to three years of footwear or apparel industry experience preferable.
- Working knowledge of the following platforms is helpful:
- Concur (travel and expense management)
- DocuSign (electronic signature and agreement cloud)
- Dropbox (file hosting service)
- Excellent computer skills: Microsoft Office 365 (Excel, Forms, OneDrive, Outlook, Power Automate, Adobe Creative Suite, Miro, Word, Google Docs, PowerPoint, SharePoint, Stream, Teams, Word, etc.)
- Ability to learn additional platforms

Pay range for this position is $67k – $75k / year.
