Job Summary:
The Office of the Registrar collaborates and engages with the campus community to ensure we effectively and efficiently meet the needs of students, faculty and staff by continuously supporting the teaching and learning mission of the University of Wisconsin-Madison and embracing the Wisconsin Idea. We are building a better campus community through the creation and implementation of essential enrollment, curricular, credit, and student record services, tools, and guidance.
This position works alongside another athletic academic eligibility specialist, each with the primary duties of eligibility certification and academic eligibility data management for incoming and continuing student-athletes, transfer student-athlete evaluation processing, and ensuring accuracy of NCAA degree-audit encoding and annual NCAA reporting. The incumbent must monitor, interpret, apply, and certify compliance with University, Big Ten, and National Collegiate Athletic Association (NCAA) rules and regulations for assigned sports, employing self-sufficient judgment under limited supervision. This work is highly dependent on data from a variety of systems and sources. A comfort with technology and an interest in process improvement is essential. Prior experience with UW-Madison systems is not required, as on-the-job training will be made available for each of these systems.
Under the general direction of the Assistant University Registrar for Data, Reporting and Eligibility, the person in this role collaborates with the university community including representatives from academic services and compliance in the Athletic Department; school and college academic deans and advisors; other divisional and campus colleagues; and degree-audit encoding and credit-evaluation services staff in the Office of the Registrar. The incumbent will have the option to perform these duties in a mostly-remote work environment, only being required to come to campus for occasional on-campus obligations.
Responsibilities: Compiles and classifies reports in support of a specific compliance program, assists leadership in regulatory report creation, coordinates notification issuance, and assists with the development and implementation of institution-wide policies to ensure compliance with institutional policies and/or laws and regulations.
- 30% Assists leadership with developing and publishing compliance reports in accordance with established laws and regulations
- 30% Audits and serves as a subject matter expert and point of contact for potentially affected units and affiliated organizations, ensuring appropriate notices are issued relating to compliance
- 30% Collaborates with other institutional compliance subject matter experts to review procedures and make change recommendations to leadership
- 5% “Meet the documented Office of the Registrar standards including but not limited to: standards in
customer service, participation, communications, professional development, and testing of
processes/systems. Perform other duties as assigned.” - 5% DEM is committed to the highest standard of service. -At least one year of experience in a professional role in higher education administration (e.g., registrar, advising, admissions, etc.)
-Ability to interpret and apply complex regulations or legislation to individual cases
-Technologically adept and data oriented; willing to learn new systems
-Ability to handle public, internal, sensitive and restricted data appropriately
-Attention to detail, organization, and critical thinking skills
-Timely and transparent communication skills
-Ability to prioritize responsibilities and work self-sufficiently, sometimes under pressure with competing priorities and deadlines
-Ability to work with diverse internal and external audiences with collegiality, patience, and curiosity
PREFERRED:
-At least three years of experience in higher education administration (e.g., registrar, advising, admissions, etc.)
-Knowledge of and ability to review, interpret, and apply university academic policy, including degree
requirements
-Knowledge of and experience with interpretation and application of rules, regulations, and
processes regarding athletic academic eligibility in a university (preferably Division I) setting
–Familiarity with student and curricular data in student information and degree-audit systems (e.g., PeopleSoft Campus Solutions and uAchieve), NCAA Applications, and/or data visualization software and warehouses
-Demonstrated experience in administrative process design and improvement
