Description
Assists the Program Manager in the implementation, coordination, and continuing operations of the administrative and clerical duties of the facility. Responsible for overseeing that chart documents are reviewed thoroughly and regularly as part of the PIER Program QI duties.
DUTIES AND RESPONSIBILITIES:
Responsible for oversight of all duties of the front office for PIER Program and work collaboratively with all clerical staff at the TAY Program site. Coordinates and facilitates client financial screening interviews, including written documentation.
Responsible for oversight of PIER/PEI Outcome Measures Data Collection for the program, including data entry and tracking that all measures are collected for PIER clients within required timelines. Responsible for the administrative portions of all staff and volunteer orientations and coordinates this training with the Program Manager.
Monitors organization and flow of all client records, and reports problems to the Program Manager. Maintains Client Census/Caseload Lists, Missing Document Reports, Productivity Reports, and Monthly Program Alert.
Coordinates all required personnel forms related to staff hires, transfer, promotions, and terminations. Arranges for the upkeep of the physical plant (e.g., notifying the Program Manager of any problems and arranges for plumbing, maintenance requests, etc.).
Monitors staff, volunteers, and interns with regard to compliance with Centerwide policies regarding administrative issues (signing in and out, submitting timesheets, submitting UOS Logs by required deadline, etc.) and reports any concerns to Program Manager.
Functions as Administrative and Safety Coordinator and attends Centerwide required meetings. Oversees and coordinates appointments for medication appointments with PIER Program psychiatrists and/or nurse practitioners.
Acts as backup to answer phones. Coordinates and facilitates typing requests including medical correspondence. Maintains and updates complete inventory of office furniture.
Qualifications
Three years clerical experience, two years of which must be in a highly specialized or supervisory capacity, preferably in a mental health setting. 50-55wpm minimum; two years college preferred.
Bilingual Spanish-speaking skills required; 50-55 wpm minimum.
Valid California Driver’s License is required. Must meet guidelines of agency’s driving criteria (i.e. Proof of liability insurance, minimal moving violations, driving record free of DUI’s or reckless driving in the last 3 years, etc.), and maintain the criteria as per company policy at all times.
Regular attendance is an essential function of the job. Interacting with other employees at work is an essential function of the job. Arriving at work on time and not leaving early is an essential function of the job. Computer skills and knowledge of community resources.
