The Division of Pediatric Children’s Health Services is seeking a Project Management Specialist.
Department-Specific Responsibilities
- Establishes standard operating procedures (SOPs) for all research and educational projects and programs.
- Monitors and guides research project teams to ensure efficient daily operations and program adherence to SOPs, grant sponsor requests, IRB requirements, and university policies.
- Establishes SOPs for the research program. SOPs will likely be related to new team member onboarding, research data quality review, study participant recruitment efforts, and supplies/equipment requests.
- Designs research projects and trains project staff to implement project missions.
- Conducts surveys and qualitative interviews with study participants. This includes developing strategies for sample recruitment and retention, creating surveys, as well as conducting qualitative interviews and analyzing qualitative data.
- Completes regulatory proposals for all human subjects research projects. Composes and submits continuing review, amendments, and close-out information as necessary.
- Oversees that projects and staff remain compliant with SOPs, institutional policies, human subject’s regulations, and Good Clinical Practice.
- Documents and reports all protocol deviations.
- Monitors and addresses potential and reported HIPAA violations involving research staff members.
- Ensures that study teams maintain consistent and accurate participant data documentation and storage for reporting purposes.
- Communicates with institution-approved vendors, reviews vendors’ Scopes of Work, and reviews invoices for accuracy.
- Works alongside Center business manager to ensure vendors’ contracts are processed by IU Purchasing and that they are paid on time using the appropriate project funding accounts.
- Communicates with the IU Privacy Officer to establish Data Use Agreements with the Center and vendor, if necessary.
- Ensures that vendor contracts and purchases fall within study budget.
- Orders project supplies necessary to support the staff and project goals.
General Responsibilities
- Manages medium to large projects, from start to finish, ensuring on time completion within budget.
- Develops project plan(s) and efficiently analyzes, tracks, forecasts, and reports on project metrics and shortfalls.
- Coordinates and facilitates efforts of project team(s) consisting of various staff and hourly employees.
- Communicates ongoing changes in tasks, goals, or performance.
- Collaborates to ensure that project objectives are achieved within established time frames.
- Participates in client meetings, vendor/contract decisions, and development of project requirements and specifications.
- May provide guidance and support to less experienced peers.

EDUCATION
Required
- Bachelor’s degree in relevant field.
WORK EXPERIENCE
Required
- 2 years of relevant experience.

Working Conditions / Demands
This role requires the ability to effectively communicate and to operate a computer and other standard office productivity equipment. The position involves sedentary work as well as periods of time moving around an office environment and the campus. Advertised Salary
$54,000 to $64,000 per year based on experience.
