What You’ll Do:

Most positions offer the flexibility of a hybrid schedule that combines working from home with regular in-office and/or field work. In-person work requirements may change for training, meetings, and other operational needs.

  • Acts as receptionist for Division of Materials and Waste Management (DMWM)
  • Provides administrative and document creation/formatting support to staff in DMWM
  • Performs various administrative duties related to projects requested by division management and staff.
  • Performs clerical tasks (e.g., collects, opens, stamps/scans, sorts, distribute & sends out hard copy &/or digital mail for DMWM correspondence; maintains incoming certified mail tracking database; makes reservations for conference rooms, bridge lines, and/or arranges meetings; fills requests for general DMWM information from public; performs mass mailings; copies files, records and letters; photocopies).
  • Assists with fiscal support tasks: create invoices, process pre-processing forms for Ohio Shared Services, enter transactions (vouchers, requisitions) and submits for approval
  • Receives and logs fee payments into Ohio EPA’s Revenue system per fiscal procedures and processes information related to payments.

Job Description:

Relieves superior of routine administrative duties, makes recommendations regarding program activities, researches & analyzes materials, information & programs, provides technical information & advice to administrators to aid in decision making, assists in developing new procedures related to established program policy. Assists with fiscal support tasks: create invoices, process pre-processing forms for Ohio Shared Services, enter transactions (vouchers, requisitions) and submits for approval; prepare in-state and out-of-state travel authorization requests and enter travel authorization requests and expense reimbursements in Ohio Administrative Knowledge System (OAKS) for approval; code documents according to fiscal procedures, verify data accuracy, and correct errors; use OAKS financial and reporting modules; keep fiscal records & analyze information using spreadsheets, databases, &/or accounting software.

Acts as receptionist for Division of Materials and Waste Management (DMWM) by greeting visitors, answering telephone, taking messages and/or referring calls. Operates Division fax machine (sends/receives/distributes Division faxes). Performs clerical tasks (e.g., collects, opens, stamps/scans, sorts, distribute & sends out hard copy &/or digital mail for DMWM correspondence; maintains incoming certified mail tracking database; makes reservations for conference rooms, bridge lines, and/or arranges meetings; fills requests for general DMWM information from public; performs mass mailings; copies files, records and letters; photocopies). Assists in file maintenance, including purging, consolidating and/or creating files. Requisitions supplies through the agency purchasing agent and/or works with division payment card holder to order supplies through an outside vendor. Assists in writing general office procedures.

Provides administrative support to staff in DMWM (e.g., creates & formats documents, assist with creating tables, charts, correspondence, reports, presentation materials, handouts, and letters.) Performs various administrative duties related to projects requested by division management and staff. Proofs typed documents and makes corrections prior to printing final copies. Maintains boilerplate letters and documents, ensures consistency in issued documents. Uses scanner to scan documents for editing, Web page, E-document Management System, etc.

Receives and logs fee checks into the Revenues System per fiscal procedures. Distributes check information for posting to appropriate personnel before delivering checks to Office of Fiscal Administration. Utilizes the agency’s Revenues system and the e-Business licensing and disposal fee services to create revenues for various DMWM fees. Creates and distributes interstate transfer vouchers and other invoices in conjunction with revenues creation. Utilizes files and agency systems to track progress and monitor revenue activities. Assists with monitoring and verifying accuracy of monthly statements submitted by entities required to pay disposal fees to the state of Ohio. Issues Pass-Through payments in OAKS.

Arranges for maintenance and repair of office equipment, (e.g., fax machine, copiers).

Performs other duties as required.

Qualifications

  • Completion of associate core coursework in secretarial science or business office applications from accredited career school or community college.
  • Or 18 mos. exp. or 18 mos. trg. in secretarial/administrative professional field.
  • Or 6 mos. exp. as Administrative Professional 1, 16871.
  • Or equivalent of Minimum Class Qualifications For Employment noted above.
