Position Information

Bring your administrative skills to the Office of Equity and join the team as an Administrative Assistant! Fluent bilingual (English/Spanish) skills required.

Starting salary up to $34.99/hour ($73,028/year), plus a competitive total compensation package, and an additional $1.50 per hour for fluent bilingual skills*

The Administrative Assistant role in the Office of Equity (OOE) will provide customer service and reception support for visitors and colleagues, screen correspondences, and respond to telephone and email inquiries. This position manages the Director’s calendar, schedules team appointments, and provides meeting support such as arranging rooms and equipment, preparing and distributing agendas and relevant materials, and taking minutes of meetings. Additional responsibilities include:

  • Assisting the Director by providing reference materials and assembling materials for their use
  • Assisting with the department website and newsletter
  • Coordinating Public Records Act requests
  • Acting as the department’s Payroll Clerk
  • Maintaining the Office’s file system and helping archive Office records
  • Using the purchasing requisition system, processing payments, and acting as the billing official for OOE
  • Creating office procedure manuals and binders, as needed
  • Ordering supplies and performing other administrative and clerical tasks, as needed

  • A sense of purpose, dignity, healing, and authenticity in their work with County staff and the public
  • Computer skills including Microsoft Office applications such Excel, Outlook, and Word and some experience using Google applications
  • De-escalation training or conflict resolution skills are desired
  • Experience with the Americans with Disabilities Act and remediating is a plus!

This recruitment is being conducted to fill a full-time, fluent bilingual Administrative Assistant position in the Office of Equity. This bilingual position requires English and Spanish skills at the fluent (reading, writing, and conversational) level. Applicants who wish to be considered for this fluent bilingual position must indicate their level of skill in the required supplemental questionnaire. An examination will be conducted prior to employment in a bilingual position to confirm the level of skill in this area. Bilingual premium pay is $1.50/hour for fluent bilingual skills.

The employment list established from this recruitment may also be used to fill future fluent Spanish bilingual full-time, part-time, or extra-help positions as they occur during the active status of this list. Minimum Qualifications

Education and Experience: Any combination of education, vocational training and work experience which provides the opportunity to acquire the knowledge and abilities listed. Normally, formal coursework in secretarial skills and three or more years of general clerical work experience which includes working with personal computers will provide this opportunity.

Performance Skills: The ability to type accurately at the rate of 45 words per minute is required.

License: Possession of a valid driver’s license at the appropriate level including special endorsements, as required by the State of California, may be required depending upon assignment to perform the essential job functions of the position.

Knowledge, Skills, and Abilities

Considerable knowledge of: the organization, services, programs and functions of the agency in order to plan, evaluate, coordinate and perform clerical support and minor administrative functions; departmental and general clerical work practices from reference materials, procedures, guidelines, written formats, and timetables to schedule events; compile, consolidate and summarize information; authorize and/or submit claims, requisitions, payroll time reports; and answer a variety of information such as work progress, routings, application of procedures to specific situations, agendas, status of accounts, location of materials, and coordination of clerical support and administrative functions; English grammar, spelling, written format and punctuation; the functions, timetables, workload, and priority of the administrative and professional positions served; the procedures, work practices, format and routines associated with secretarial responsibilities to one or more commissions or boards if such work has been assigned.

Working knowledge of: the principles of supervision and office practices to instruct and provide training to secretarial and general clerical positions; office equipment and filing systems, including personal computers and/or terminals, as well as business software programs generally used by County departments.

Knowledge of: the principal administrative employee’s style of writing and thinking in order to compose routine correspondence in his or her absence and to clarify wordage or sentence structure not necessitating review.
