Legal Administrative Assistant to the VP and General Counsel
Bergstrom Automotive Headquarters – Neenah WI
The Legal Secretary is responsible for providing executive-level administrative support to the General Counsel of the company who also serves as Executive Vice President, Secretary, and Treasurer of the corporation. Our ideal candidate will have experience communicating with executives and all team members. A successful candidate will be professional, self-motivated, well organized, detail-oriented, and be able to maintain the strictest confidentiality. Furthermore, have the ability to work independently while being energetic, positive, and proactive in an environment of change and shifting priorities.
WHAT YOU’LL DO
- Provide support to the General Counsel and Executive Committee.
- Perform general administrative duties: draft correspondence, take meeting notes, process incoming mail, maintain calendar, arrange for travel, maintain files, answer incoming phone calls in a prompt, polite, professional manner, and determine access to the General Counsel. Greet visitors and escort them to meeting locations. Prepare executive responses to routine memos, letters, and correspondence.
- Liability and Physical Damage Insurance Policies, Claims, Certificate of Insurance as well as complaints, litigation, and legal requests.
- Assist with processing Real Estate and Franchise Acquisition Transactions.
- Interactions with local, county, state, and federal entities and agencies.
- Prepare presentations for new franchise acquisition opportunities.
- Process and maintain dealership license renewals, surety bonds, and Seller’s Permits. Assist in Dealership Licensing. Prepare Real Estate and Buy/Sell legal documents as necessary. Assist with Estate Planning for the Bergstrom Family.
- Assist in tracking building projects, expenses, pre-opening checklists, licenses, etc.
- Assist in renewing and maintaining the liability, physical damage, and workers’ compensation insurances, including requesting Certificates of Insurance and assist dealerships in filing claims.
- Submit annual reports for each corporation to the Department of Financial Institutions.
- Maintain legal and general files, shop drawings, dealer agreements, and manufacturer documents.
- Track Continuing Legal Education credits for General Counsel and submit every two years.
- Review expense reports and invoices for presentation to General Counsel for approval.
- Support Human Resource team and cover headquarter reception as needed.
- Travel to events and meetings as needed.
Schedule: Monday-Friday 800a-500p and additional hours determined by business needs.
Pay: Salary of $55,000-65,000/year based on relevant experience.
WHO’S RIGHT FOR THE JOB?
- Associate Degree in Administrative Assistant or Paralegal and 3 years’ experience as an Executive Assistant. In lieu of a degree, 5+ years’ experience.
- Expert in the Microsoft Suite and knowledgeable of Google Suite
- Ability to obtain a Notary Public
- Knowledge in editing PDFs
- Ability to act and work independently, organize workloads, set priorities, solve problems, work well under pressure with deadlines, adapt to change, and handle confidential material.
- Ability to clearly and precisely communicate orally and in writing to individuals and high-level executives.
- Ability to adapt and support the organization and workloads with a flexible schedule as needed.
- Ability to build strong sustainable business relationships at various levels throughout organization and with guests.
- Ability to occasionally work extra time in order to make project deadlines.
