Hourly Rate Range: $13.86 – $18.84 per hour

Summary

Provides clerical and technical support to an employee group consisting of dean, director, representative coordinators, and noncredit faculty teaching within a particular cluster of disciplines. Work consists of semi-routine, standardized assignments of average difficulty under general supervision. Reports directly to the dean of workforce, community engagement, & technical education.

Salary is restricted to above range and will not exceed the maximum of the range. Salary offers are non negotiable and offers are determined and are based upon related work experience submitted on resume.

Duties and Responsibilities

  • Processes purchase requisitions and check requests for department including verification of funds in related accounts initiating budget transfers when needed.
  • Must maintain confidentiality in working with students, staff, and general public.
  • Serves as key Banner person in department and performs related course, grade, data entry and retrieval building coursework as needed
  • Processes contracts, paperwork and payroll documents for coordinators as needed to include contract sales; point person for quarterly board reporting; WEDNet Processing; and class record maintenance.
  • Initiates instructor paperwork and maintains tracking system of department course outlines and paperwork for audits, accreditation, and institutional review
  • Creates and maintains a current spreadsheet of current non-credit instructors, courses, pending projects for the department.
  • Maintains records related to several grant and scholarship programs as needed
  • Coordinates publication process for noncredit schedule and maintains web updates for department.
  • Prioritize, plan, schedule and manage activities to meet manufacturing objectives in timely and cost-effective manner.
  • Organizes records and assists in special projects to provide support for events and conferences serving as liaison between organizers and Workforce department.
  • Generating regular and ad-hoc reports on a variety of metrics; analyzing data to identify trends, issues, and opportunities, and uncovering levers impacting these issues, and developing recommendations for improvement.
  • Responsible for providing periodic reports: real time and historical reports containing performance data to support operations management.
  • Handles ordering of necessary supplies and equipment for office and classes.
  • Operates and oversees maintenance of necessary office equipment and supplies; occasionally works varied hours.
  • Performs high-level secretarial duties applying critical thinking skills.
  • Performs other duties as may be assigned by dean, director and coordinators.

Required Qualifications

Required

Education

  • Associate degree from an accredited institution of higher education or a combination of education and office assistance experience sufficient to successfully perform the essential duties of the job.
  • High school diploma or equivalent.

Certifications

  • Act 153 Clearances (Act 34 PA Criminal Background, Act 151 PA Child Abuse History, Act 114 FBI Clearance Fingerprinting)

Work Experience

  • Three or more years’ experience in a fast paced office environment
  • Demonstrated ability of utilizing software/technology.
  • Must have demonstrated experience with MS Office, Google Calendar and Sheets in order to store data, create reports, produce schedules and perform other tasks.
  • Demonstrated experience in providing excellent customer services.
  • Possess a high level of accuracy, analytical and problem solving skills, written and oral skills, organizational skills.
  • Demonstrated ability to work with frequent interruptions and commitment to continuous professional growth in skills and knowledge.
  • Working knowledge of any workforce management software used to manage schedules, work flow, and statistical data.
  • Must possess analytical skills essentially for reviewing information, analyzing data, and making appropriate recommendations for improvement.
