Summary
- Provides executive administrative assistance and support to the Chief Operating Officer and Senior VP of System Operations.
Key Roles & Responsibilities
Directly or through others, the incumbent:
- Performs multiple executive duties, sometimes of a sensitive and/or confidential nature, utilizes available resources to ensure a safe and efficient office organization.
- Utilizes specific knowledge of Company policies and procedures to ensure that daily activities are performed in accordance with Oncor standards.
- Processes invoices and disbursement authorizations for department, maintains files, office supplies and distributes correspondence materials.
- Generates and coordinates correspondence/communication with various Company Managers.
- Reconciles purchasing card statement and travel card expenses.
- Coordinates travel arrangement for CEO or Executive Vice President; coordinates general and training meeting arrangements; manages executive calendar.
- Administers and maintains agendas of various meetings and committees, action items, voting records, and meeting minutes.
- Serves as a SME to train other Administrative Assistants within organization.
- Perform special projects as necessary in support of CEO or Executive Vice President
- Performs all essential aspects and functions of the job as well as any other specific job requirements.
Education, Experience, & Skills
Education:
- High School diploma, GED or equivalent required. Associates degree preferred.
Experience:
- Seven to eight years of experience in administrative support functions or four years’ experience with two years college/secretarial school. Professional Administrative Assistant/Secretary accreditation and knowledge of electric utility business/customer interface a plus.
Skills:
- Must display a positive, customer-focused attitude and be willing to work long or on occasion unscheduled hours.
- Must be organized, detail oriented and have strong written and oral communication skills.
- Must be able to work under pressure, meet deadlines, creatively solve problems with minimum guidance and work independently, knowing when to seek guidance.
- Must have ability to think ahead, anticipate issues or problems and proactively develop potential solutions.
- Demonstrated ability to interface effectively with internal and external clients at all levels, including executive management.
- Strong computer skills including Microsoft Office applications, Word, PowerPoint, Excel, Outlook, FIM, Maximo, UltiPro and other Internet/Intranet applications.
- Must demonstrate confidentiality in all matters.
