Representative Duties
The project coordinator is responsible for planning and overseeing a variety of projects and events for the court and provides administrative support to various Clerk’s Office departments. The project coordinator interacts with judges, chambers staff, and Clerk’s Office staff and works with a variety of external parties and vendors. This position reports to the Information Officer/Attorney Advisor. Strong time-management skills, strong interpersonal skills, flexibility, attention to detail, and commitment to teamwork are critical to success in this position. The position will require frequent travel, including overnight travel, to the court’s other divisions.
Project management duties:
- Plan, coordinate, oversee, and make recommendations for special court events, including investitures; portrait ceremonies and senior judge receptions; magistrate judge retirement receptions; and judicial meetings and dinners.
- Plan, coordinate, oversee, and make recommendations for educational and community outreach events, including naturalization ceremonies, open doors programs, and educational luncheons held at the courthouse.
- Responsible for all pre-event tasks including communication; invitations and programs; RSVP tracking; event space configuration; and coordination of speakers and other non-court participants.
- Responsible for day-of event coordination and logistics, including procuring light refreshments and meals.
- Coordinate court photography including official judge photographs and naturalization ceremony photographs.
- Oversee room reservation requests from third parties.
- Coordinate with Division Manager, IT Director, Space and Facilities Director, HR Director, Procurement, and other agencies.
Administrative duties:
- Assist the Operations Department in managing the process for CM/ECF lawyer admission, CJA panel application and appointment, special admission to practice, and mediator certification. Prepare reports, form letters, notices, and other correspondence related to court bar membership; CM/ECF and PACER accounts; CJA panel applications; and other topics. Assist with the development and eventual implementation of short- and long-range improvements to the various admissions and application processes.
- Assist with committee meetings including preparation of agenda packet, taking minutes, and scheduling.
- Other duties as assigned.
Minimum Qualification Requirements
Requires a total of four years’ experience, two years at a progressively responsible administrative level demonstrating the particular knowledge, skills, and abilities to successfully perform the duties of this position. The successful applicant will possess:
- Prior event planning experience.
- Excellent customer service skills and the ability to deal with a wide variety of people tactfully and courteously.

- Strong organizational skills and the ability to handle multiple assignments with frequent interruptions.
