Sr. Administrative Assistant

The Sr. Administrative Assistant contributes to the efficient day-to-day operations of the team and directly supports the General Auditor and senior members of the Corporate Control group.

Responsibilities

  • Providing primary, high level administrative support for three Senior Leaders
  • Maintaining calendars, schedule, and organize meetings across multiple time zones, both virtually and in-person with all levels of the organization, including Board and PEC members, staff, and external partners, proactively managing scheduling conflicts
  • Managing and coordinating logistics for global leadership and team meetings; occasionally attending meetings and managing follow-up requests as appropriate
  • Coordinating extensive international and domestic travel
  • Coordinating and interacting with direct reports or broader global teams
  • Act as a focal point liaising internally or externally with key stakeholders to send/receive documents, manage meeting invitations/requests, facilitate travel arrangements, or other information flows to assist Senior Leaders
  • Preparing documents and correspondences as necessary; maintain and ensure organization of critical team documents; issue Corporate Audit executive summary reports to senior executives and external parties
  • Providing support on special projects as required (e.g. materials and logistics for leadership meetings, trainings, forums, etc.)
  • Ability to work on confidential projects and matters with minimal direction and an appropriate sense of urgency
  • Engaging with the administrative team across the organization for best practice sharing and continuous improvement
  • Other duties include handling information requests, receiving visitors, and other day-to-day office management responsibilities/ad hoc needs
  • Accurate and timely reconciliation of multiple monthly T&E and P-Card through Concur
  • IR vendor / invoice management – This involves the processing and payment of critical vendor invoices for approximately 5-7 vendors. Administrator will be asked to track and record payments so that we avoid duplicative fees and ensure that all payments are made on time to avoid penalties.

Compensation and Benefits:

  • The expected compensation range for this position is between $55,400 -$83,100 based on a full-time schedule
  • Location, confirmed job-related skills and experience will be considered in setting actual starting salary
  • Paid time off subject to eligibility, including paid parental leave, vacation, sick, and bereavement

Qualifications

  • Bachelor’s degree and prior executive administrative experience ; High school diploma or GED required
  • International travel experience, with knowledge of visa preparations and processing
  • Ability to function well in a team environment, display professional maturity, and interact with all levels of management; pro-actively offers support and seeks to take on additional responsibility where value can be added
  • Ideal candidate should have strong collaboration and verbal and written communication skills and possess a “can do” attitude with “no job too small” mentality, with an impeccable standard of excellence
  • The ability to work with minimal supervision, set goals, create, and implement action plans, and monitor progress towards goals
  • Detail-oriented and resourceful in completing projects; able to multi-task without loss of efficiency, including the ability to make clear and timely decisions
  • Results-oriented with the capability to complete assignments in a timely manner, with the ability to pivot and react to changing priorities
  • Impeccable English language written and verbal skills including report writing and proof-reading capabilities
  • High level of proficiency in Microsoft Suite including Outlook, Word, Excel, and PowerPoint, with the ability to quickly learn various in-house software applications. Cross-platform computer literacy (Windows and Apple iOS operating systems) a plus
