Job Summary/Basic Function:
To perform complex clerical, office administration, and public relations assignments; perform related work.
This position is LIMITED-SERVICE. The length of a limited-service appointment is determined by the availability of funds such as grants and/or timeframes such as pilot projects or program termination. Appointments to a limited-service position have permanent classified status (with limited layoff rights) after successful completion of entrance probation and shall receive, no later than the date of hire, a written agreement describing the non-career nature of the job and the duration of employment. Updated agreements are required every two (2) years. Cribbing the non-career nature of the job and the duration of employment.
This is a 12-month Limited Service.
Department Overview:
The Boise State University – High School Equivalency Program (HEP) and College Assistance Migrant Program (CAMP) are federally funded programs administered by the U.S. Department of Education – Office of Migrant Education.
The College Assistance Migrant Program (CAMP) assists students who are migratory or seasonal farmworkers (or children of such workers) enrolled in their first year of undergraduate studies at Boise State University. The program supports completion of the first year of studies. Services include counseling, tutoring, skills workshops, financial aid stipends, health services, and other supportive assistance to eligible students during their first year of college.
HEP assists migratory and seasonal farmworkers and their immediate family members who are 16 years of age or older obtain a General Educational Development (GED) certificate or the state equivalent to a high school diploma and subsequently to gain employment in a career position or the military or entry into postsecondary education
Level Scope:
Applies skills and job knowledge in area of specialization; may adapt procedures, operations, techniques, tools, materials, and/or equipment to meet needs of area of specialization; may work on non-routine tasks; resolves issues/makes working decisions within area of specialization or responsibility with minimal supervision.
Essential Functions:
60% of the time the Administrative Assistant 2 must:
• Coordinate administrative activities which require frequent contact with executives, the public, other agencies and campus officials. May attend meetings to relay and collect information.
• Independently research, analyze, and compile information to prepare reports, handle complaints, or resolve problems; compose correspondence for supervisor on own initiative or from general instructions; format/type a variety of executive, sensitive, confidential, official and/or legal letters and documents.
• Exercise discretion and independence in applying policies and procedures
• Responsible for the research, compilation, and organization of materials for administrators’ use in problem resolution.
• Responsibility for financial record keeping including monitoring budgets, preparing financial transactions
• Supervise student support staff or have leadwork responsibilities.
• May be responsible for ensuring that assignments given to other staff are completed and timelines are met. May supervise students and staff.
35% of the time the Administrative Assistant 2 must:
• Information management – Utilizes a variety of software and institutional tools (e.g. My Insights, Pyramid, Peoplesoft, Access, and Excel) at the intermediate or advanced level to compile and monitor program information for decision-making and reporting purposes. Assists with data compilation for annual federal reports. Understands federal and university regulations pertaining to federal grant operations. May handle sensitive or confidential information.
• Supports the delivery of required program services such as scheduling classroom spaces, managing and assigning computer equipment, hiring student staff, monitoring work study, facilitating program communication with participants.
• Provides communication in Spanish and English to participants, written program documents, and social media.
• Coordination of grant-related events and travel – Plan and execute staff and student travel to support participation in required meetings, professional development conferences, and events such as orientation, retreat, cultural activities, and graduation recognition.
• Maintain and update website to reflect current activities and program information. Point of contact for upgrades and web compliance.
• Supports the delivery of required program services such as scheduling classroom spaces, managing and assigning computer equipment, hiring student staff, monitoring work study, facilitating program communication with participants.
5% of the time the Administrative Assistant 2 must perform other duties as assigned.
Knowledge, Skills, Abilities:
• Ability to compose official correspondence, reports, research papers and other complex documents; providing administrative support to an administrator, director or senior staff member; designing manual and automated record management systems.
• Some knowledge of supervisory practices; bookkeeping; financial software; state and local government organization structure, functions, and decision-making processes.
Minimum Qualifications:
Good knowledge of: office support functions including word processing; filing; composing a variety of business documents; reception; and researching, compiling, and summarizing data for reports.
Experience: in interpreting, applying and explaining complex information such as regulations, policies or services; independently solving problems/performing liaison activities in a work setting; coordinating activities requiring complex arrangements.
Must be able to speak, read, and write in Spanish and English.
Preferred Qualifications:
• Previous experience in a similar position or experience working with a federal grant.
• Bachelor’s degree.
