Position Summary

The Trades Maintenance Coordinator is part of the University Housing Facilities Service team responsible for routine, planned, preventative, and reactive Maintenance repairs and improvements to all assigned University Housing buildings and associated equipment.

Essential responsibilities are to act as a working coordinator for the Mechanical, Electrical, Plumbing, and Architectural Trades in support of ongoing maintenance needs and preventive maintenance activities. This includes managing and balancing the workflow between in-house trades workers, general maintenance mechanics, plumbers, and refrigeration mechanics, as well as external contractors, student workers, and administrative staff. Specific areas of focus will include lead work, program maintenance scheduling and execution of work, and assisting Housing Facilities Customer Service with tasks associated with preventative maintenance projects and activities. A strong aptitude for staff management and advanced organizational skills will contribute to the success of this position.

Work Coordination:
Acts as liaison to those requesting services and with those involved in projects such as inspectors, representatives of the city or county or local power companies, or other tradespeople. Coordinates work with other units. Assists manager in planning, assigning, and reviewing work of other workers in the unit; adjusts work assignments and schedules to maintain adequate staffing levels and responds to fluctuating workloads; evaluates employee performance and recommends appropriate performance appraisal to manager; assesses training needs of staff and assists the manager in providing appropriate instruction; assists the manager in providing initial orientation to new employees.

Project Coordination:
Inspects job site and blueprints to determine the extent of construction, maintenance, or repairs needed; determines the need for outside service vendor (contractor) and makes recommendations to manager; assists in the formulation of specifications for the job; reviews and recommends acceptance of bids to manager; independently initiates work orders with the university and with outside contractors; coordinates remodel, construction, or major maintenance projects. Monitors work of contractors; writes status reports on ongoing projects; estimates time, materials, and staffing needs for projects; requisitions materials and supplies or purchases; keeps logs on costs and timeliness of work.

Administrative Duties:
Assists manager in developing plans for matters such as schedule and extent of routine preventive maintenance; monitors and accounts for unit’s inventory of equipment, tools, and supplies; conducts annual physical inventory; disposes of worn and obsolete equipment according to guidelines; utilizes computer to log in and log out work orders and to respond to e-mail from clients and customers.

Trades/Maintenance Work:
Performs semiskilled or skilled journey-level work in the same trade or maintenance areas as those being coordinated (e.g. painters, carpenters, electricians, plumbers, refrigeration/HVAC, trades/maintenance workers) such as: installing new plumbing including pipes, drains, faucets, and other fixtures; building and repairing structures; cleaning and sanding areas to be painted, mixing and applying paint; repairing and maintaining wiring systems and electrical fixtures and equipment; repairing and overhauling mechanical equipment; installing and repairing sheet metal articles; welding; and troubleshooting and making minor repairs to equipment.
Work is typically accomplished independently, applying personal knowledge of general and specific work techniques. Work will be performed to service standards, in compliance with state and local building and construction codes, including electrical, plumbing, and fire codes. This position will assist trade workers, including electricians, plumbers, locksmiths, painters, and refrigeration technicians when accomplishing maintenance and repairs requiring licensed personnel.

This position requires the use of various hand and power tools, safety equipment, and personal protective equipment, including fall-prevention equipment.

This is a full-time, 12-month position, and reports to a University Housing Facilities Manager.

Special Requirement:
• Valid driver’s license and the ability to obtain UO Driver’s Certification for the purpose of driving University vehicles.
• Ability to work using safety equipment, in confined spaces, to climb ladders, and to work from ladders or elevated platforms and rooftops.
Minimum Requirements
• Three years of experience in the operation, maintenance, or repair of facilities in one or more physical plant or building services.
• One additional year of experience with responsibility for the coordination of maintenance work or projects.
Professional Competencies
• Ability to interpret work orders, enter records in a CMMS, and understand policies, procedures, and safety information.
• Mechanical knowledge and experience using basic power and hand tools to perform all assigned tasks.
• Ability to read, interpret, and work from wiring diagrams, blueprints, service manuals, and written instructions.
• Ability to prioritize duties, maintain a professional demeanor, and provide excellent customer service.
• Ability to maintain a safe, respectful workplace and model a positive, proactive, service-focused attitude.
• Experience with and/or commitment to working effectively within an increasingly diverse population.
• Ability to work collaboratively in a team environment with staff and students, while maintaining respectful communication.
Preferred Qualifications
• Maintenance experience in a higher education facility or large commercial/residential complex.
• Experience with general maintenance and preventative maintenance programs.
• Experience with maintenance and repair of steam heating and hot water boiler, and kitchen appliance systems.
• Experience of general building maintenance in the following trade areas: carpentry, electrical, mechanical, painting, plumbing, or welding.
