Construction Office Manager – High Speed Rail

Arcadis seeks an Office Manager to join our project team and to support managing our project office in Selma, CA.

Must be able to work onsite in Selma, CA.

Role description:

The Office Manager will support Project Managers and Project Teams in relation to Arcadis’ prime contract and its subcontracts, HR functions including onboarding and offboarding, and facility and fleet management.

Role Accountabilities:

  • Manage the administrative team and the preparation of weekly and monthly status reports and spreadsheets, filing, photocopying, and data entry for Arcadis’ prime contract and subcontract, including forecasting.
  • Coordinate the preparation and maintenance of sub-consultant contracts, including international agreements with other Arcadis operating companies.
  • Coordinate the gathering of vendor registration documents, including coordination of health & safety records, tax records, insurance documents, human resource policies, and other information as requested by Clients.
  • Coordinate onboarding of new staff members and offboarding
  • Assist with preparation for internal and external financial audits on assigned projects.
  • Prepare and participate in Client and Senior Managers meetings and calls, as needed.
  • Prepare summary reports and presentations for Project Manager and Project Team members.
  • Assist with review, production, and delivery of project reports, memos, and presentations, as needed.
  • Coordinate with staff regarding weekly time, expenses, and overtime and maintain required certification documents.

Required Qualifications:

  • 8+ Years of office management/contract administrative experience

Key Skills and Attributes:

  • High School diploma required
  • Excellent communications skills, both oral and written, with a demonstrated ability to work effectively with individuals at all levels of the company and Client.
  • Ability to work in our Selma office 5 days per week
  • Ability to manage an administrative team of 5 people
  • Ability to work independently and as part of a team.
  • Able to work under time constraints to accomplish goals and objectives.
  • Must be able to handle multiple projects for several project managers simultaneously.
  • Excellent analytical skills, with strong attention to detail, especially with numbers and invoice review.
  • Must be well organized with sound judgment and planning.
  • A highly motivated individual with a willingness to pursue continual innovative improvements in processes.
  • Must have strong computer skills in MS Office Suite, particularly Excel, Word, PowerPoint, & Outlook.
  • Must be able to meet multiple and simultaneous deadlines.

The salary range for this position is $45,000 – $81,000.
