HDR’s Corporate Real Estate department has an opening for a Facilities Coordinator Manager/Real Estate Administrator which can be based anywhere in the continental US. Corporate Real Estate is tasked with planning and executing professional work environments. Their responsibilities range from site selection, lease negotiation, design, construction, furniture selection and design to move coordination (including IT, security and AV). This team also sets workspace design standards and furniture standards. HDR workspaces are designed to optimize our real estate, be sustainable, enhance collaboration, attract, develop and engage employees, build our brand and culture and promote wellbeing at work.

The position reports to the Corporate Real Estate (CRE) Department Director and will be the direct supervisor to the Regional Facilities Coordinators. They will also act as liaison between the CRE Director, the CRE team and also both internal and external facing clients. The overall responsibility of the RFC is to provide support in several areas for the Real Estate Director and team. This position may require minimal travel from time to time.

General tasks include:

  • Supervisor to the three Regional Facilities Coordinators. Provide guidance and training as needed in order that they will be successful in their job responsibilities and provide a high level of customer service to CRE in-house clients
  • Monitor workload of RFC and adjust scheduling of projects as needed
  • Liaison between CRE PM and RFC as needed to insure job responsibilities are clear.
  • Collect and compile data to complete Office Planning Guides for determining how much square footage an office needs to support current staff and future growth.
  • Attend weekly conference calls with the CRE Director and Real Estate Broker, scribing notes, and maintaining records on the status of upcoming lease related activities.
  • Schedule project kick off and review calls with multiple attendants, both internal and external, for project discussions.
  • Maintain records of non-JLL managed leases for short term project offices, storage units, and TDY residential leases.
  • Maintain and monitoring the CRE ticket system, assigning tickets to CRE’s based on region and workload.
  • Maintaining both the internal team SharePoint site and the CRE company-wide SharePoint site.
  • Work with Corporate policy administrators to update CRE Guidelines and Standards.
  • Create new /archive old CRE project files in Newforma.
  • Assist the Director with creation of reports and presentations as needed.
  • Distribute fully executed lease documents to key HDR staff and filing them in Newforma.
  • Request updated Certificates of Insurance as needed for property managers & landlords.
  • Assist with tracking test fit and tenant allowance reimbursements.
  • Respond to questions about lease language, building rules, etc.

Accounting tasks:

  • Confirm cost center & overhead numbers to ensure lease payments are posted correctly.
  • Monitor purchase order balances and processing vendor payments
  • Assist with getting new landlord/property management vendors set up in our system.
  • Assist with purchase order creation for lease related deposits and tenant improvement overages as needed and helping to ensure prompt payment.

Qualifications

Required Qualifications

  • A minimum of 10 years of experience working in corporate real estate
  • Must have the ability to read floor plans and understand property leases
  • Understanding of accounting principles as they related to corporate real estate
  • Demonstrated proficiency in various business processes and Microsoft Word, Excel, PowerPoint, Outlook and PeopleSoft
  • Must be well-organized with high attention to detail and accuracy
  • Must be team-oriented and able to work with a variety of people in a fast-paced environment
  • An attitude and commitment to being an active participant of our employee-owned culture is a must

Preferred Qualifications

  • Bachelor’s degree preferred
  • Experience in an Architectural/Engineering firm a plus

Typical starting pay range for this position is $74,000.00-139,000.00 annually depending upon skills, experience, education and geographical location.
