As the Administrative Support Assistant II, you will play a pivotal role in driving the seamless functioning of the Office of Continuing Medical Education. Reporting directly to the Associate Director of Continuing Medical Education, you will be at the heart of our mission to provide lifelong learning experiences for physicians that support their intentional efforts to enhance their competencies. Serving as a liaison for departments within the College of Medicine, your administrative support will ensure the seamless coordination of ongoing educational initiatives and adherence to accreditation benchmarks. Departmental Liaison and Continuing Medical Education Activities Oversight
- Act as the primary point of contact for College of Medicine departments in the oversight of Grand Rounds and other regular educational events.
- Review submitted documentation for CME activities to ensure alignment with established policies, accuracy, and completeness.
- Maintain comprehensive logs of Grand Rounds activities, tracking compliance with essential elements.
- Manage attendance records through the registration system and state licensure system.
- Respond to requests for CME transcripts and provide individual certificates upon request.
Coordination of Departmental CME Activities
- Collaborate closely with departmental coordinators to facilitate both live and online CME activities.
- Review application and marketing materials to ensure compliance with accreditation requirements.
- Oversee the coordination of website updates and registration services for these activities.
Support for On-site Conferences
- Offer assistance during on-site conferences, providing logistical and administrative support as needed.
Participant Communication and Enquiries
- Respond to incoming calls and participant inquiries, offering prompt and courteous assistance.

Expected Salary:
$17.50 – $19.00 per hour
Minimum Requirements:
High school diploma or equivalent and four years of relevant experience.

- Proficiency in comprehending and applying rules, regulations, and policies to ensure adherence to established standards.

- Demonstrated organizational prowess, effectively juggling and managing multiple tasks and responsibilities concurrently.
- Proficiency using software applications, particularly Microsoft Word and Excel, to efficiently create and manage documents, spreadsheets, and reports.
- Adeptness at working collaboratively within a team, contributing to the achievement of organizational objectives while valuing diverse perspectives.
- Strong commitment to meticulousness, ensuring accuracy and compliance in all tasks and projects undertaken.
