POSITION TITLE:Events & Marketing Coordinator

POSITION SUMMARY:

We have an exciting opportunity for an Events and Marketing Coordinator supporting the Marketing and Communications department at Scripps Research in La Jolla, California, home of some of the world’s most renowned scientists. This is a great opportunity for someone who is excited to expand their basic event expertise and support a fast-paced marketing and communications program.

RESPONSIBILITIES AND DUTIES:

EVENTS

  • Supports the team on a wide range of events, from large external facing events to internal events. Duties include planning, event implementation (both virtual and in-person), and posts event reconciliation. Assists in securing event speakers and hosts. Ensures appropriate A/V technical support.
  • Serves as a department point of contact to various internal clients and constituencies to support event-related needs.
  • Supports event promotion and marketing efforts. Event marketing duties include, but not limited to, print and electronic event promotions; paid and earned event promotions; and sourcing and securing event sponsorships.
  • Works with vendors, including requesting and reviewing proposals, placing orders, processing invoices, and updating event budgets.
  • Provides day-of event support, including setup and teardown; guest, staff, and vendor management; Zoom or other digital platforms for virtual events.
  • Supports event registration including management of event registration platform(s) and website(s).
  • Helps to maintain and update event-related website(s).
  • Helps to maintain Institute internal and external event calendars.
  • Participates in post-event discussion to ensure event goals were met. Provides insights and recommendations for improvement, as needed.
  • Supports the management of internal and external requests for the institute’s campus auditorium.
  • Manages department event equipment and coordinate usage.
  • Positions may provide event-related writing support, including development of invitation copy, guest information, program copy, etc.
  • May host campus tours on request.

MARKETING

  • Actively participates in marketing strategy discussions.
  • Collaborates with a cross-functional team of graphic designers, copywriters, social media experts, and photographers/videographers, in the strategic development of messages and deliverables.
  • Prepares marketing reports and presentations by collecting, analyzing, and summarizing data.
  • Tracks marketing objectives, timelines and deliverables, ensuring that key milestones are met.
  • Details of established essential functions for this position will be addressed/discussed during the interview process.

REQUIREMENTS:

  • Bachelor’s degree (or equivalent) in marketing, advertising, or communications.
  • Minimum of two years’ experience in, and knowledge of planning, production, and management of large, small and high-profile events with diverse audiences.
  • Knowledge of traditional and digital marketing, content marketing, and social media marketing.
  • Demonstrated integrity, dependability, sound judgment, teambuilding and resourcefulness to establish and maintain collaborative, positive and effective working relationships with multiple and diverse constituency groups.
  • Strong Microsoft Office skills (Outlook, Word, Excel, PowerPoint).
  • Expert knowledge of Zoom platform (webinar and meeting functionalities, recordings, breakout sessions).
  • Possess excellent verbal and written communication, interpersonal, listening and spelling skills.
  • Recognize priorities, work well under pressure, ability to meet deadlines.

PHYSICAL REQUIREMENTS:

May include lifting and carrying objects up to 25 pounds, stationary position for an extended period of time, traverse campus/facility as needed, operate machinery such as computer, phone, copy machine; exposure to cold or hot temperatures.

COMPENSATION:

The expected hiring range for this position is $30.29 to $36.35/hourly, commensurate with experience. Consideration will be given to experience that exceeds the listed requirements.
