Secretary to the COO

The New York City Housing Authority is seeking an Executive Assistant, to provide NYCHA’s Chief Operating Officer with high level administrative and analytical support on handling and resolving confidential matters, inter-departmental and inter-agency initiatives with respect to agency policy and programs.

The responsibilities, include but are not limited to the following:
• Maintain the COO calendar to include scheduling of appointments, meetings, conferences, etc.
• Ensure that the COO has all necessary materials for meetings and projects.
• Screen telephone calls and take messages.
• Maintain and update important contact information.
• Prepare reports, memos letters, and other documents.
• Facilitate internal communication (e.g., distribute and collect information from the COO’s direct reports).
• Perform other appropriate duties and participate in other special projects as assigned.
• Maintain files on correspondence received from City Hall, elected officials, and senior level staff from other city/state agencies.
• Review, track and assign all incoming mail and other written materials.
• Prepare spreadsheets, presentation materials and document editing for the COO.
• Oversee the operations of the COO’s executive office including office budgeting, some contract management, and personnel matters.
• Assist with handling resident complaints and managing the Office of the COO general mailbox.

Minimum Qual Requirements

1. A baccalaureate degree from an accredited college, and
2. Seven years of full-time satisfactory professional experience in administrative work and general office management, as well as some experience with contracting and procurement, communications, managing an office budget, and personnel processing.

Preferred Skills
• Proven work experience with high-quality administrative support to senior-level executives.
• Proficiency in Microsoft Excel, Access, Word, and other office management technologies.
• Excellent written and verbal communication skills.
• Experience exercising discretion and confidentiality with sensitive company information.
• Excellent organizational skills with an ability to think proactively and prioritize work.
• Highly motivated with a strong sense of sound judgment.
