Pay Range
$85,800 – $127,884
$85,800 – $106,536 Annually for the A01.2 level
$102,990 – $127,884 Annually for the A01.3 level

Job Description
We have an opening for an Events and Visits Administrator to work in a dynamic and fast-paced environment within the Engineering Principal Associate Director’s Office. You will independently prioritize and execute a diverse administrative workload. You will frequently interact with high-level Laboratory management, LLNL Protocol Office, as well as VIP visitors to include officials and representatives from various government agencies, academia, and private sector. This position is in the Engineering Principal Associate Director’s Office.
This position will be filled at eitherlevel based on knowledge and related experience as assessed by the responsibilities (outlined below) will be assigned if hired at the higher level.
In this role you will
- Manage the day-to-day operations of administrative processes and activities related to Directorate level events and visits and serve as a point of contact for associated administrative action items and requests.
- Lead the implementation of business, operational and/or organizational activities. Serve as a resource providing guidance on the interpretation and application of business policies, procedures, and practices; review documentation for adherence to policies and ensure consistency.
- Lead, manage, direct, and oversee special projects assigned by Engineering Senior Managers to achieve organizational goals and objectives. Act as a liaison for the coordination and implementation of these activities, ensuring timeliness and compliance of security requirements.
- Manage Directorate level visits and activities to ensure efficient use of resources and successful coordination of visits, tours, and badging. Actively participate in various meetings and represent the Directorate on various committees.
- Independently clarify, coordinate, communicate, and disseminate information on behalf of the Engineering Principal Associate Director’s Office. Assess and respond to inquiries, prioritize actions, follow-up and ensure resolution on a wide variety of issues.
- Represent management on day-to-day administrative matters to high level internal and external managers and respond on their behalf.
- Perform other duties as assigned.
Additional job responsibilities, at the A01.3 level
- Oversee and participate in planning, decision-making, and coordination of all Engineering directorate events including the Engineering External Review Committee (ERC) meetings, assigning appropriate staff to work with visits or events as required. Serve as a subject matter expert in high level protocol visits, workshops, conferences, and special events. Act as a liaison for the coordination and implementation of these activities, ensuring timeliness and compliance of security requirements.
- Serve as a key advisor for establishing organizational goals, objectives, and priorities for each event and visit. Participate as member of special committees. Develop and recommend draft agendas and review final agendas and schedules for visits and meetings; coordinate discussion topics with appropriate senior management. Independently clarify, coordinate, communicate, and disseminate information on behalf of the Engineering Principal Associate Director’s Office.
- Research, coordinate and develop creative solutions to complex visits and events challenges. Serve as primary liaison with customers and management to ensure complex problems are appropriately handled, providing recommendations.
Qualifications
- This position requires an active Department of Energy (DOE) Q-level clearance or active Top Secret clearance issued by another U.S. government agency at the time of hire.
- Experience coordinating and leading administrative projects and/or operational work activities including high level visits, conferences, off site meetings, and events.
- Advanced knowledge and experience with computers and associated software including MS Office applications; experience creating and maintaining complex spreadsheets and developing presentations.
- Effective analytical, problem-solving, and decision-making skills necessary to independently identify and recommend appropriate actions and implement solutions to administrative issues.
- Leadership and team building skills with the ability to influence and build productive relationships with the aptitude to assume responsibility and make decisions with minimal guidance within a disciplinary team.
- Advanced administrative and organizational skills, extremely detail-oriented with experience in independently prioritizing multiple diverse and complex tasks for self and others in a fast-paced environment, with frequent interruptions, while meeting conflicting deadlines.
- Experience working on organizational projects with the ability to understand customer needs and interpret and apply relevant policies and procedures.
- Effective interpersonal, verbal, and written communication skills with the ability to handle sensitive and confidential issues with tact, discretion, and mature judgment; ability to effectively deal with difficult situations and personnel.
- Experience leading multifaceted internal processes and developing and implementing various administrative procedures and workflow processes to enhance efficiencies and meet objectives.
Additional qualifications at the A01.3 level
- Advanced organizational, problem solving, decision-making, and analytical skills necessary to independently assess and recommend appropriate actions and implement solutions in real time situations. Ability to work independently on highly involved projects with frequently changing variables and multiple factors that are not easily answered by standard procedures and ability to work a flexible schedule to accommodate events, protocol visits, briefings, and special meetings.
- Ability to lead large-scale projects including planning activities, providing ongoing updates to management, and providing direction and feedback to team members. Ability to influence and build productive relationships with the aptitude to make decisions with minimal guidance.
- Excellent grammar, proofreading and editing skills with emphasis on attention to detail. Advanced knowledge and experience with computers and associated software including MS Office applications; experience creating and maintaining complex spreadsheets and developing presentations. Experience formulating, reviewing, updating, and communicating budgets.
- Effective interpersonal, verbal, and written communication skills with the ability to handle sensitive and confidential issues with tact, discretion, and mature judgment; ability to effectively deal with difficult situations and personnel. Ability to understand customer needs and interpret and apply relevant policies and procedures. Experience building and leveraging relationships with senior professionals across multi-disciplinary teams to accomplish shared goals and objectives.
Qualifications We Desire
- Advanced computer skills, including proficiency with LLNL standard software packages (VTS, LEAP, Catering, FTS, etc.). Experience working with CVENT online registration tool.
- Experience working in a scientific or technical program.
- Broad institutional knowledge of the Laboratory.
