JOB GOAL: To facilitate efficient and timely procurement processes by accurately processing purchase orders, maintaining organized records, and fostering effective communication with vendors and internal departments.

QUALIFICATIONS:

  • High school diploma or equivalent; associate degree or relevant certification preferred
  • Proven experience as a purchasing technician or in a similar role
  • Strong organizational skills with meticulous attention to detail
  • Proficiency in MS Office applications (Word, Excel, Outlook) and data entry
  • Familiarity with procurement processes, including purchase order creation and inventory management
  • Effective communication skills, both verbal and written
  • Ability to multitask and prioritize tasks in a fast-paced environment
  • Problem-solving skills and the ability to resolve issues with vendors and internal stakeholders
  • Basic understanding of purchasing software or systems preferred
  • Knowledge of procurement regulations and ethical practices
  • Strong ethics and a commitment to confidentiality

TERMS OF EMPLOYMENT: 12-Months, 261 Days, General Leave, Vacation

COMPENSATION: $20.52 – $24.22

BENEFITS: As per District policy

REPORTS TO: Director of Business Services

EVALUATION: Initial evaluation to be completed no later than ninety (90) days after first day of work; thereafter, annually by supervisor.

HOURS: 40 hours per week – Monday-Friday 7:30 a.m.-4 p.m.

CLASSIFICATION: Non-Exempt

PERFORMANCE RESPONSIBILITIES:

Responsibilities shall include, but not be limited to, the following:

  1. Supports the Strategic Plan of Queen Creek Unified School District
  2. Assist in creating and processing purchase orders based on requisitions, ensuring accuracy in product descriptions, quantities, and pricing.
  3. Interact with vendors to obtain quotes, negotiate pricing, track order status, and resolve any discrepancies or issues.
  4. Maintain accurate records of inventory levels, track stock levels, and assist in inventory reconciliation.
  5. Organize and maintain procurement-related documents, including contracts, purchase orders, invoices, and shipping records.
  6. Input procurement-related data into the company’s purchasing system, ensuring data accuracy and completeness.
  7. Collaborate with internal departments to support purchasing needs, timelines, and specifications, ensuring efficient communication and coordination.
  8. Help build and maintain positive relationships with suppliers, addressing inquiries and resolving any supplier-related concerns.
  9. Monitor status and report on purchasing activities such as purchase orders, expenditures, and vendor performance.
  10. Ensure purchasing activities adhere to company policies, procedures, and ethical standards, as well as relevant laws and regulations.
  11. Assist in monitoring costs, identifying cost-saving opportunities, and participating in cost reduction initiatives.
  12. All other duties as assigned by supervisor and/or designee
