Position Summary

The Construction Coordinator will be responsible for significantly growing Civic Works’ Elder Services Construction program, focusing on the administrative tasks of scheduling and completing approved home repairs and safety modifications for Baltimore City and Baltimore County older adults. Working with the Construction Supervisor, they will help develop and maintain subcontractor relationships and find new ones.

The Construction Coordinator will assist in day-to-day relations with subcontractors and will work to hold partner contractors accountable to program deliverables, requirements, and standards. The Construction Coordinator will assist in managing and optimizing internal systems for tracking project timelines, commitments, documentation, and data. The Coordinator will relay customer feedback, track ongoing operations and maintenance, and update as needed.

Primary Responsibilities:

  1. Check emails for updated work orders, new work orders, questions, and subcontractor contracts.
  2. Address questions and concerns regarding our construction leaders.
  3. Address questions and concerns regarding clients.
  4. Address questions and concerns regarding Nexonia and Paycom.
  5. Enter new orders in the spreadsheets and the appropriate computer folders.
  6. Enter modified orders in the spreadsheets and the appropriate computer folders.
  7. Assist with scheduling inspections and installations for clients and manage appointment confirmations.
  8. Assist with purchasing materials for client work.
  9. Complete all paperwork required to close out work orders, including entering in spreadsheets and the appropriate computer folder – Ensure that all info is there.
  10. Ensure Before & After photos are in folders and easily accessible.
  11. Manage the tracking of all subcontractor quotes and invoices, and payments due.
  12. Send subcontractor quotes and invoices to Accounting for deposit and final payment.
  13. Support recruitment, vetting, and screening of new sub-contractors. Obtain copies of materials, such as appropriate and relevant certifications, liabilities, and insurance documentation.
  14. Maintain regular communication with each subcontractor, ensuring that the contractors comply with program requirements, including job quality and performance standards, permits (if needed), reporting processes, deadlines, and budget constraints.
  15. Monitor the performance of completed jobs. Ensure customer issues are reported to subcontractors and resolved satisfactorily.
  16. Document client feedback and communicate with Construction Leaders. Follow up to make sure any issues are addressed.
  17. Facilitate the relaying of client feedback to subcontractors and mediate any problems between clients and contractors.
  18. Present and update information during weekly Work Order meetings. Prepare weekly status reports as needed (i.e., for all CAPABLE work orders)
  19. Prepare monthly updates on all completed work orders.

Secondary Responsibilities:

  1. Performs other duties as assigned by the Director of Elder Services.

Qualifications

Education and Experience:

  • Experience with Microsoft Word and Excel is required.
  • Project management experience is required.
  • Experience in construction or a related field is preferred.
  • Experience working in and creating diverse, equitable, and inclusive environments preferred.
  • Experience with programs that serve low-income clients is preferred.

Skills and Abilities:

  • Strong computer skills and database management skills are required.
  • Highly organized, detail-oriented, and able to manage multiple projects simultaneously.
  • Exceptional personal responsibility for meeting goals and a track record of success.
  • Excellent oral and written communication skills.
  • Ability to prepare and submit accurate and reliable reports.
