Job Summary
Hiring Range: $34,230.00 – $46,610.00 annually (salary to be commensurate with qualifications)
This position has an anticipated work schedule of Monday – Friday, 8:00am – 500pm, subject to change. Under FLSA guidelines, this position is non-exempt.
Provides financial support to County departments with a variety of financial duties to include departmental accounts payable, reconciling, and reporting. Uses a variety of State and County financial systems. This position is part of the Accounts Payable Coordinator career progression series, which includes Accounts Payable Coordinator I, Accounts Payable Coordinator II, and Accounts Payable Coordinator III. An employee is eligible to advance to the next position within the series when the employee has met the criteria for advancement as notated within the job description and has received a recommendation from the Hiring Authority.
Essential Duties/Responsibilities
- Coordinates with departments and prepares documents for purchasing materials, labor, and services. Ensures accuracy of purchase orders and budget assignment.
- Performs data entry into various County and State financial systems.
- Contacts clients and reviews needed documentation for proper payments.
- Prepares requisitions and purchase orders through coordination with departments/offices and the Procurement & Contracts Division.
- Organizes and verifies billings and receipts of materials or services and processes invoices for payment.
- Reviews and reconciles encumbrances and expenditures. Provides financial reports according to departmental needs.
- Reconciles vendor and P-card statements.
- Assists as needed with other areas to meet A/P processing deadlines.
- Processes 1099 tax code information for vendor accounting.
- Requests setup of address book vendors.
- Performs other duties as required.
Qualifications
Knowledge, Skills, and Abilities:
- Ability to maintain confidentiality.
- Ability to cross-train and learn all functions contained within the Accounts Payable Team.
- Ability to communicate and work effectively with co-workers, other county personnel, other agencies, and the public.
- Working knowledge of accounting methods, forms, and techniques; ability to understand accounting records and procedures and apply proper accounting procedures.
- Ability to efficiently plan, schedule, and organize.
- Ability to assess situations and make prudent and appropriate decisions; ability to apply conflict resolution and problem solving skills.
- Working knowledge of Microsoft Office, specifically Word, Excel and Outlook.
- Maintain regular and punctual attendance.
Required Education and Experience:
- High school diploma or equivalent education.
Preferred Education and Experience:
- Associate’s degree in accounting or related field.
- Minimum of two years full-time accounting or related experience.
Pre-Employment Requirements:
- Must pass conditional post offer background investigation and drug screen.
Work Conditions
Duties are performed primarily in an office environment.
