Role Summary
As the leader of the Project Controls team, you will be responsible for guiding the success of the three major groups within your organization: Cost Management, Schedule Management, and Construction/Contract Administration.
The Project Controls team (PCG) at Rivian is a centralized team that supports the broader Facilities Department. You will be responsible for implementing cross-functional process controls and governance measures to support Rivian’s business objectives and constraints. You will establish policy, procedure and mechanisms to enable cross-functional work and execute for the business, between Project Controls & Governance and other key teams, such as Finance, Real Estate, Operations, Design, Construction, Capex/Purchasing, as well as Program Teams responsible for delivering the Facilities Build plan. As the PCG leader, you will also be responsible for the PCG software strategy, and work closely with technology leaders.
A successful Project Controls & Governance Team accurately forecasts and controls project costs and schedules, builds widespread cross-functional understanding and alignment on PCG processes and systems. This individual will effectively right-size project control efforts against differing program requirements and accurately collects project cost data and actively integrates tools within the Rivian software stack to increase efficiency and eliminate redundancy.
Responsibilities
- Maintain cross-functional understanding of team scope and function through precise and direct communication of the Project Controls team purpose, impact, and needs.
- Lead Project Controls team to support Rivian objectives and Project goals, and actively collaborate with Program leaders to understand their needs. Maintain and champion a process to actively get buy-in from Facilities Program Leaders.
- Set standard regarding critical project KPIs. Navigate the team and project goals to find the correct balance between cost, quality, and schedule metrics.
- Develop team KPI’s, aligned to system of record, to measure project performance. Regularly analyze project data and provide insights to senior management.
- Develop expert level understanding of costs for all Rivian Programs and project types. Lead cost management team to pinpoint cost drivers at a granular level and provide suggestions for cost reduction as well as appropriate target pricing goals for future builds.
- Proactively coach the team and refine roles & responsibilities to ensure that the appropriate levels of support are provided, based on the varying needs of programs and project types.
- Lead conceptual estimating and financial planning exercises for future facilities in conjunction with Design, Finance, and Engineering teams. Lead team to iterate and refine estimates and plans as needed to meet financial targets. Proactively provide input on cost, constructability, and schedule to influence planning and design directions.
- Interface closely with Program Controls Manager / Director for Stanton Springs production facility. Develop project control standards and to support the cost, schedule, and contract management efforts on the project, and ensure project goals are met.
- Interface with Finance team to ensure that approved project ROMs are incorporated into the financial plan of record. Develop a thorough understanding of Finance tools and processes so that budgets are accurately reflected in financial models.
- Lead project control reviews and audits to identify areas for improvement and implement corrective actions.
- Support Finance/Accounting-led effort to evaluate/ implement the integration of project controls systems into corporate finance and accounting systems of record.
- Coach the team in presenting budgets and schedules to Facilities leadership stakeholders on a weekly basis. Coach team through the varying workflows of different project types, including approvals, design, and bidding. Ensure that projects are successfully and accurately represented.
- Drive milestones for project development to speed up project development timelines and to ensure that project execution is set up for success. Milestones include: setting critical project KPIs, finalizing project programming, defining major cost and schedule drivers, working with engineering teams to identify key infrastructure needs on project. Appropriately balance pressure to move quickly with the need to fully develop scope.
- Manage scheduling team as needed to verify that all projects have integrated P6 schedules where applicable, and that project schedules align with internal facilities operating system software.
- Manage database of historical costs to inform divisional cost benchmarks. Provide guidance as needed to ensure that project cost data is being collected in a format that is useful for project-specific usage. Vigorously use tools and advocate for them.
- Oversee construction accountant team, including billing certification, contract administration, and project closeout responsibilities to mitigate legal risks and spend waste.
- Work with Director of Technology and Controls to anticipate team needs and project headcount. Recruit as needed to meet headcount goals. Proactively develop staffing strategy to support centralized needs and project support across facilities projects.
Qualifications
- Any combination of education and experience equivalent to a Bachelor’s degree in Construction Management, Engineering, Architecture or a related subject and 15+ years in construction.
- 10 years in Project Controls or Preconstruction with experience in industrial manufacturing and on the owner’s side is preferred.
- Excellent oral and written communication skills; must be able to communicate between internal Design, Real Estate, Finance, and Construction teams, as well as external contractors. Able to build and maintain strong working relationships. Direct communication and collaboration with Rivian leaders is required.
- Experience in managing Project Controls processes for multiple project sizes and building procedures for new project types.
- Strong understanding of cost management software, tools, and systems and their technical capabilities.
- Proclivity toward data-informed processes, and fostering a data-focused culture within the team.
- Experience building a Project Controls team from the ground up, ideally in as an owner and/or in a startup environment.
- Proficient in the use of standard business software applications (MS Word, Excel, Outlook).
- While performing the duties of this job, the employee regularly works in an office environment. However, there are occasions when duties require a presence on-site at the construction work site where the employee is exposed to moving mechanical parts, high precarious places, fumes or airborne particles, outside weather conditions and risk of electrical shock. The noise in these work environments is usually moderate to very loud.
- Performance of the required duties will occasionally require physical ability to climb permanent and temporary stairs, ability to climb ladders and negotiate work areas under construction.

Pay Disclosure
Salary range for El Segundo or Irvine, CA based applicants: $189,000-$217,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law)
Salary range for Palo Alto, CA based applicants: $205,000-$236,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law)
Salary range for New York, NY based applicants: $205,000-$236,000 annually (Actual compensation will be determined based on experience, location and other factors permitted by law)
Benefits Summary: Rivian provides robust medical/Rx, dental and vision insurance packages for full-time employees, their spouse or domestic partner, and children up to age 26. Coverage is effective on the first day of employment, and Rivian covers most of the premiums.
