Facilities Administrative Assistant
Wage: $20/hour+ DOE
Shift: Full-time

Summary: Would you like to join our dynamic and efficient facilities team? This role supports the entire facilities team by keeping things organized, managing scheduling, and completing cost tracking.
Responsibilities:
- Provide administrative support to ensure efficient operation of the Thanksgiving Point Institute Facilities office and Facilities field operations.
- Receive and log all requests for facilities services/projects.
- Keep all requesters informed with progress of their request.
- Manages cost tracking, asset histories, inventories, and documentation.
- Facilitate (not coordinate), execute, and deliver diverse multiple projects and improvement initiatives spanning across departments and Thanksgiving Point properties, while ensuring project success and achievement of strategic company objectives.
- May direct and lead the work of others, monitor hours worked, and submit hours for payroll
- Schedule and coordinate facilities related project, meetings, and needs including custodial, repairs, and maintenance.
- Accounting responsibilities include: supply staff P.O’s; receive, code and return all invoices in a timely manner; prepare and reconcile online expense reports; receive, track and code all department invoices as they come in; communicate with vendors as necessary to ensure timely receipt and processing of invoices. Log all department accounting transactions; assist in cost management reporting with accurate ledger, coding and backup documentation.
- Coordinate with various teams and vendors as needed
- Conduct inspections on venues, buildings, contracts and improvements.
- Manage all aspects of complex projects or initiatives from initiation to delivery, so the projects are completed on time, with quality, and within budget.
- Facilitates and manages the analysis of project requirements, identifies and understands the cost estimates, resources, and time required to complete the project(s), and ensures project goals and requirements are met within time, cost, and quality parameters
- Receives data, enters data, and prepares various reports.
- Assist in developing and managing inventory and purchasing management processes for spare and replacement parts and supplies.
- Greet and assist visitors both in person and by answering and directing phone calls and responding to emails.
- Occasionally pick up and deliver parts, materials, and equipment
- All tasks must be accurate and delivered with high quality and in a timely manner.
- Other duties as assigned.

Required Skills and Qualifications
- Familiar with a variety of the concepts, practices and procedures of building maintenance, cleaning, repairs and construction.
- Must have basic computer skills and know Microsoft Excel and Word
- Knowledge of Autocad or Bluebeam software preferred
- Understanding of Project Management methodologies.
- At least 2 years office management experience or similar.
- Firm understanding of basic accounting principles.
- Ability to effectively communicate via phone, email, text, and in person
- Must be a self-starter and have a disposition to work both independently and with a team, with a commitment to detail in an organized manner.
- Strong organizational, problem solving, and planning skills- able to create and follow process to ensure accuracy and efficiency.
- Ability to rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude
- Excellent time management skills and ability to prioritize work.
- Handle sensitive information in a confidential manner.
- Prompt, professional and willing to contribute.
- High school diploma or equivalent; college degree preferred.
