WHAT YOU’LL DO
The ValueScience® Center (VSC) Office Services Senior Coordinator is responsible for office management activities to meet the operating needs of the ~20 employees that are hosted by the office.
The Office Senior Coordinator will help drive the employee and office experience and serve as a member of the office leadership team. In addition to operations, this person will handle key functions and activities including Facilities & Office Management, Human Resources & Benefits Administration, Special Events/Office Affiliation, Administrative Services, and other Office Services and Reception.
The Office Senior Coordinator is expected to produce a smooth, day-to-day operation focused on service, excellence, and business acumen, and to help build and reinforce a positive, close-knit office culture working in close connection with the VSC leadership team.
The Office Senior Coordinator will also provide select leverage and support to several members of the VSC leadership team. This person will coordinate and work in concert with counterparts from other offices in the North America (NAMR) region. They will work closely with a wide range of constituents to coordinate initiatives and to develop, implement, execute and interpret programs and policies related to all local staff.
SELECT ROLE RESPONSIBILITIES:
Member of team that coordinates global administrative activities of BCG ValueScience® Center
- Assists practice area administration to arrange meetings and prepare selected presentation materials for monthly meetings as well as quarterly board meetings
- Works with global counterparts to help complete administrative activities that support ValueScience® Center’s (VSC) main business functions: marketing, project delivery, people processes and technology development
- Monitors working locations of employees and assures proper communications paths are in place
- Coordinates training events, recruiting events, and guest visits to our office
- Arranges and coordinates team dinners, holiday parties and special events
Overseeing facilities and office management
- Assures services, such as daily cleaning, monthly shredding, etc. are in place and operating
- Maintains proper level of office supplies, cleaning supplies, kitchen supplies, and food & beverages
- Keeps track of office files (electronic and paper)
- Refills printers, copiers, etc. as supplies run low
- Receives and responds to physical mail for the office
- Interfaces with building management to ensure safe and secure work environment, including maintenance, work orders, security, and other issues within our space
- Coordinates Emergency preparedness activities including contact lists, procedures, acting as floor warden for the building, etc.
- Works with other BCG office operations managers to benchmark the right level of services for our office
- Assures that BCG Inc. has the right information as to level of assets, lease information, etc. for accounting and insurance purposes
- Keeps office clean, free of clutter, organized, and presentable
- Makes sure non-local guests have proper information on where to stay and tips for navigating the local area
Human resources and benefits administration
- Assists with recruiting administration and on-boarding, including maintaining contact with new hires during recruiting process
- Helps employees navigate BCG’s various systems, policies and procedures. Role is not expected to be an HR expert, but in general knows where to tell people to look and can help them find an answer
- Keeps track of special programs/policies place for VSC employees, e.g., CFA incentive plan
- Handles select WorkDay activities for VSC team
- Assist in coordination of local office health and wellness initiatives such as annual flu shot clinics, Wellness activities, CPR trainings, etc.
- Maintain appropriate supply levels for all materials related to employment and benefits; update annual labor law postings
- Support other local activities as needed
Executive and other administrative support
- Provides occasional support as executive assistant to senior staff for time-intensive activities for which they need assistance, including travel arrangements, booking and arranging large meetings, etc.
- Assures entrance and exit paperwork for guests, contractors and workers are in place and BCG compliant
- Assures we have all the proper employee postings, notifications, and that we meet OSHA standards
- Handles other administrative items and special assignments

YOU BRING (EXPERIENCE & QUALIFICATIONS)
- 3-5 years of relevant work experience, preferably within a professional services firm
- Excellent people and stakeholder management skills; able to provide and receive honest and constructive feedback while facilitating collaboration to achieve common goals
- Flexibility and comfort with ambiguity. Openness to new and innovative ideas and to change.
- A quick study. Demonstrated ability to identify, analyze, and solve problems

ADDITIONAL INFORMATION
Total compensation for this role includes base salary, annual discretionary performance bonus, contributions to BCG’s Profit Sharing and Retirement Fund (PSRF), and a market leading benefits package described below.
We expect total annualized compensation for San Francisco-based employees to be approximately the following:
- Base salary between $79,000 – $93,000 (USD); placement within this range will vary based on experience and skill level
- Annual discretionary performance bonus between 0-12%
- 5% Profit Sharing Retirement Fund (PSRF) contribution, increasing to 10% after two years of service. Contributions are vested immediately and there is no waiting period
- First year annualized target total compensation: $83,740 – 98,580 (USD)
