Purpose of Position
Incumbent serves as Administrative Assistant for the Parks and Recreation Department, responsible for providing administrative support to department personnel.
Essential Job Functions
Greets office visitors, answers telephone, receives/provides information, takes messages, or directs/transfers to appropriate individual or department. Communicates with/provides assistance to department personnel.

Takes reservations and registrations for the Parks & Recreation facilities, programs, and events; collecting fees, entering data, printing and providing receipts, and filing.

Performs various administrative duties, such as sorting and distributing mail; making copies of needed documents; preparing outgoing mail and making daily deliveries to City Hall; monitoring/maintaining office supplies inventory and ordering supplies.

Assists in the preparation of programs/events for the Recreation Division, including booking outside vendors, ordering catering, creating pamphlets or other promotional materials, and managing reservations. Provides assistance during programs/events that require additional staff, including assisting in setting up/tearing down events, assisting vendors, and working at booths.

Prepares and maintains various contracts, insurance documentation, and reports.

Assists in maintaining the CivicRec and CivicEngage software programs, including uploading/entering all data and class information, generating reports, and identifying/resolving minor problems and contacting support service as needed.

Maintains REACH display screens, including designing and uploading all content.

Enters and updates program and event marketing information on community calendars, including Indy’s Child Parenting Magazine, Hamilton County Tourism, and any other relevant event calendars applicable to the community and the parks.

Maintains the department’s fixed assets list and completes annual report for the Office of Finance and Accounting.
Job Requirements

High school diploma or GED required. Associates Degree in business administration or related area, or equivalent combination of education and experience preferred. Experience/education in customer service preferred.

Possession of or ability to obtain certifications in CPR and First Aid within required time period.

Working knowledge of department office policies and procedures and standard office practices, and ability to apply such knowledge to a variety of interrelated processes, tasks and operations.

Working knowledge of Standard English grammar, spelling and punctuation, and ability to type with speed and accuracy and properly operate a variety of standard office equipment, including computer, printer, telephone, postage meter, copier and calculator. Working knowledge of Microsoft Office Programs, such as Word, Excel, Publisher, Outlook, SharePoint, and Teams, as well as other department database systems and software applications as may be necessary to perform essential job functions.

Working knowledge of the City of Noblesville Employee Personnel Policy Handbook and ability to apply these regulations/standards to employment.

Ability to understand and follow oral and written instructions and work alone with minimum supervision.

Ability to effectively communicate orally and in writing with co-workers, other City departments, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.

Ability to work on several tasks at the same time and complete assignments effectively amidst frequent distractions and interruptions.

Ability to occasionally work extended, evening, and/or weekend hours.

Possession of a valid Indiana driver’s license, a demonstrated safe driving record, and must remain insurable through the City of Noblesville’s liability insurance carrier. (Refer to the Civilian Personnel Policy for additional information.)

Work Environment
Incumbent maintains frequent contact with co-workers, other City departments, and the public for the purpose of exchanging information.

Incumbent reports directly to the Administrative Manager.

Incumbent performs duties in a standard office environment involving sitting for long periods, bending, lifting/carrying objects weighing less than 25 pounds, sitting and walking at will, hearing sounds/communication, close/far vision, and handling/grasping/fingering objects. Incumbent occasionally works extended, evening, and/or weekend hours.

The City of Noblesville pays 80% of the medical, dental and vision premiums for full-time city employees. Insurance premiums are deducted over 24 pays per year.

Employee Healthcare Clinic
Full-time employees have access to a Health and Wellness Clinic which provides many health and wellness services for employees and dependents on the city’s medical healthcare plan. Many of the services provided are those you would expect to receive from a family physician. The clinic also provides generic prescriptions and clinical lab testing. All services provided at the Health and Wellness Clinic are provided at no cost to the employee.
