  • Position Location: East Mesa/Admin Office (Power & Main)
  • Schedule: Flexible Schedule Either: Mon – Fri 9:00 a.m. – 6:00 p.m. (40 hours) -OR- Tues – Fri 9:00 a.m. – 6:00 p.m., Sat 8:00 a.m. – 12:00 p.m. (36 hours)
  • Pay: $20.00 – $23.00

POSITION SUMMARY

This position monitors, coordinates, and reports on the flow of the calls that are coming into the practice along with supporting the communication technology of the practice. This position also assists with acting as a key communication and scheduling representative for incoming calls into the practice and outbound calls, patient portal scheduling requests and website inquiries. This position serves as the team lead supporting the Centralized Patient Scheduler team.

ESSENTIAL FUNCTIONS:

  1. Answers all incoming calls in all assigned phone queues per the TCC Service Standards.
  2. Learns all phone queues: New Patient, Scheduling, Communications, Appointment Today, Referring Physician, Hospital, Clinical Question.
  3. Schedules, cancels, reschedules, and/or confirms appointments appropriately documenting all pertinent information in the schedule.
  4. Works with patients, referring physicians and their staff, hospital staff appropriately and courteously to provide optimal customer service.
  5. Triages calls or pages calls to the appropriate staff member, department workgroup, secretary, or physician appropriately referencing any paging protocols for accuracy.
  6. Registers and creates charts for New Patients per the PCP order/referral and obtaining all pertinent demographic, insurance, and clinical information and documenting completely in the schedule and the chart.
  7. Works various Task Buckets for Scheduling and completes scheduling tasks as requested per physician orders.
  8. Enrolls patients in the Patient Portal if not already enrolled.
  9. Works the Fax Folders, Medical Referrals, Website Messages, and Patient Portal Inbox for New Patient Appointments, Established Patient appointments, Testing appointments, and Incoming Orders.
  10. In addition to the duties as a Centralized Patient Scheduler, works with supervisor to lead the workflow of the team.
  11. Works with supervisor to identify and maintain certain level of calls in queue.
  12. Supports adds, moves, and changes within the phone system on the Intermedia.
  13. Assist with the research and investigation through the Intermedia/Miarec system on TCC incoming or outgoing calls.
  14. Monitors new patient orders.
  15. Monitors the inbox for nuclear orders.
  16. Monitors the website inquiries.
  17. Assists in Training new hires and instructs new hire orientation Scheduling Training
  18. Receive API/after-hours email and work/delegate incoming messages.

SCOPE AND COMPLEXITY

Incumbents in this position are required to be knowledgeable in all areas of the organization and have a basic understanding of medical terminology and cardiac procedures. This position interacts with patients, physicians, management, and employees in both written and verbal form. The incumbent handles a large variety of simple, complex and escalated issues.

MINIMUM QUALIFICATIONS

Education/Experience/Licenses/Certifications

  • High school diploma or GED required

Preferred:

  • Two years of experience as a telephone receptionist/customer service rep.

Skills/Knowledge/Ability

  • 40 wpm typing
  • Knowledge of basic computer and math skills.
  • Demonstrated critical thinking ability in order to resolve problems and carry out instructions.
  • Ability to multi task.
  • Excellent verbal and written communication skills presented in an effective, clear, calm, friendly and professional manner.
  • Ability to effectively communicate to all internal and external customers.
  • Manages tasks in a timely fashion.
  • Ability to read and interpret documents.
