The department is in search of a detail-oriented and customer-service driven professional to fill the role of Facilities Coordinator. General Description: This is an administrative position that performs complex tasks and fieldwork related to coordinating scheduled use of County facilities.

Organization: The Facilities Coordinator reports to the Business Manager of Parks and Recreation.

Essential Functions:

  • Coordinates scheduling and use of all Hanover County Parks and Recreation athletic facilities, buildings, and picnic shelters; works closely with athletic organizations, league organizers, and tournament coordinators to schedule regular season field use and tournament assignments; communicates facilities needs to Parks and Recreation maintenance personnel.
  • Coordinates scheduling and use of Hanover County Public Schools facilities; works closely with Hanover County Public Schools personnel to schedule indoor school space as needed for various programs and events.
  • Coordinates scheduling and use of other County facilities and public meeting space; works closely with Department of General Services staff for review and authorization of facility use requests.
  • Provides exemplary customer service to the public and employees, in person, by telephone and online; answers routine questions regarding departmental facilities, procedures, policies, programs, and services.
  • Maintains records for all facility use requests; reviews facility use applications; verifies facility user contact information, residency status, and volume of use; creates and issues facility use permits.
  • Conducts periodic inspections of athletic facilities, picnic shelters, meeting spaces, and community buildings to ensure compliance with facility use guidelines; inspects facilities for safety and environmental concerns before and after use.
  • Communicates inclement weather or other closures to athletic organizations, private renters, and other community organizations.
  • Coordinates approval of special event requests and coordinates logistics for rental equipment, facility maintenance, and other unique needs for internal and external special event operations.
  • Manages assignment of mobile food vendor permits and coordinates mobile food vendor approved sales locations.
  • Maintains account information for youth and adult athletic organizations, community groups, and other facility users.
  • Assists with general customer service and administrative operations; supports recreational programs and special events as needed.
  • Performs other requisite duties as assigned.

Knowledge, Skills and Abilities:

  • Sound working knowledge of County facilities including athletic fields, community buildings, meeting space, picnic shelters, playgrounds, and other public spaces.
  • Sound working knowledge of modern parks and recreation operations, facilities, and programming.
  • Sound working knowledge of athletic league scheduling and existing youth and adult athletic organizations and community groups in Hanover County.
  • Ability to operate modern office equipment, including computers and facility scheduling software
  • Ability to communicate clearly and concisely, both orally and in writing; ability to establish effective working relationships with those contacted in the course of work including the general public.

EDUCATION AND EXPERIENCE:

High school diploma or equivalent required (bachelor’s degree preferred) with at least two (2) years related experience -OR- Any equivalent combination of education, experience and/or training sufficient to demonstrate the knowledge, skills and abilities is acceptable.

SPECIAL REQUIREMENTS:

– Criminal Records Check, including fingerprinting

– Valid Commonwealth of Virginia Driver’s License

– Work beyond normal work schedule, including weekends and evenings

– Twelve-month probationary period
