Description
Under the direction of the Recreation Services Supervisor, provides administrative support and coordination for departmental functions and activities. Assists in a cooperative effort to support administrative and front desk staff. Employees in this class possess departmental knowledge and requires a high degree of professionalism. Performs related work as required. Incumbent must be able to work with the latest City technology relating to recreation software, phone system, document imaging, financial systems, Microsoft Office, etc.
Duties
Essential duties are in two parts; A. Front Desk Operations Support and B. Contracts, Rentals and Special Events Support. Employees in this class will conduct either A or B essential duties, and will also serve as the backup to either A or B. Employees will also have other administrative duties as assigned in support of the Department.
- Front Desk Operations Support
- Assists with the general operations and administrative functions at the reception area of the Recreation Center.
- Proficient in all aspects of recreation software (membership & activity sales, facility reservations, permits, resale, etc.)
- Assists with auditing accuracy of applications and forms related to memberships, activities, permits, passes, etc.
- Able to operate multi-line phone system and respond to inquiries and/or directs calls, accordingly.
- Assists with preparation of department timesheets and purchase card submissions.
- Coordinate incoming and outgoing mail.
- Assists with the accurate preparation of daily, weekly, monthly, annual reports, as needed.
- Composes and types correspondence. Prepares outgoing mail and correspondence, including e-mails, letters, etc.
- Contracts, Facility Rentals and Special Events Permit Support
- Assists with contract processing and management (fitness, 70/30 specialty, facility rentals, etc.).
- Assists with processing of special event permits.
- Performs both routine and non-routine administrative duties, as dictated by the nature of the task, such as file maintenance and computer data input.

Required Education, Experience, License, Registration, and Certification Qualifications
Associate’s Degree or Vocational Degree supplemented by five (5) years of progressively responsible experience in administrative support work, public relations or similar work demonstrating excellent organizational skills, customer service skills and skilled use of various modern business computer applications, or an equivalent combination of education and experience.
CERTIFICATES, LICENSES, REGISTRATIONS
American Red Cross AED/CPR and First Aid
American Hotel & Lodging Educational Institute’s Certified Guest Services Professional Certification, or ability to obtain within 6 months of assignment

Extensive knowledge of departmental operations.
Knowledge of modern office support functions.
Knowledge of business English, the application of such to a variety of formats and styles and editing principles and techniques.
Knowledge of various modern computer applications and Recreation Department software programs and databases.
