Position Summary
DU is seeking an independent, self-motivated, and detail-oriented individual with experience in process development, implementation, and oversight; knowledge/contract/workflow management systems implementation and oversight; and legal administration and/or office management within a law firm or higher education administration context. The IP Operations Specialist will report directly to the Office of Intellectual Property and Technology Transfer (OIPTT) Manager and will be an integral member of OIPTT’s growing team. This position will work closely with both OIPTT and divisional team members, as well as faculty, staff, and students throughout DU.
Essential Functions
- Overseeing knowledge management database and project management software, including maintaining records systems, managing dockets, overseeing workflows, creating SOPs, monitoring and reporting on system metrics, and identifying opportunities for efficiency improvements
- Preliminary triage and processing of incoming service requests
- Proofread, edit, and fact-check legal documents for accuracy and consistency, including sourcing and checking for internal consistency among multiple documents across numerous OIPTT, division, and university-wide systems
- Design, implement, and train others (as needed) on administrative processes and systems
- Assist with invoicing (AP and AR), royalty distributions, and budget planning
- Preliminary drafting as well as coordination of inter- and intra-office processes related to OIPTT templates
- Manage OIPTT’s departmental email accounts
- Manage OIPTT’s employee/intern onboarding and offboarding processes
- Optionally-with adequate experience evidenced-preliminarily draft agreements
- Optionally, manage iEdison reporting
- Optionally, lead content creation for OIPTT communications on various channels
- Other duties, as assigned

- Skill in examining operations and procedures, and in developing and implementing new strategies and solutions
- Advanced analytical, evaluative, and objective critical thinking skills
- Experience with knowledge and contract management systems and best practices
- Aptitude and interest in becoming OIPTT’s expert in multiple systems necessary to provide administrative support for matter intake, processing, and compliance activities
- Ability to gather data, compile information, and prepare ops-related reports
- Skill in organizing resources and establishing priorities
- Working knowledge and understanding of legal principles and processes as well as planning, development, and administration in the higher education context
- Ability to supervise and train employees on processes, workflows, dockets, knowledge management systems, and other systems as needed
- Motivation to provide superior customer service, and to supporting an agile, collegial, and DEIAJ-oriented team environment
Required Qualifications
- Undergraduate degree
- 5-7 years of experience implementing and overseeing processes and operations in either the higher education administration or the legal office context
- 1-2 years of experience managing student (undergraduate/graduate) interns/employees
- Demonstrable interest in higher education- and OIPTT-related operations
- Experience managing systems, workflow, documents, and processes using Wrike, cloud-based contract or knowledge management systems, SharePoint directories, SCT Banner systems, and other systems, including managing SaaS and OaaS providers
- Proven skill with Microsoft Office applications, including Word, Excel, Teams, OneNote, and Bookings
Preferred Qualifications
- Tenacious drive to identify opportunities to improve records, systems, and processes, and to design and implement solutions to realize increased accuracy and efficiency
- Proven ability to discern needs based on communications from a wide variety of constituents, and to select appropriate workflows and deliverables to meet needs
- Deep understanding of at least one of: legal culture, entrepreneurial culture, and/or faculty research/innovation culture
- Personality and comportment suitable for working directly with numerous types of individuals across academic, legal, social, governmental spectra

University operating hours are Monday – Friday, 8:00 a.m. – 4:30 p.m. This position is half-time for 20 hours per week with full benefits. Remote work and telecommuting options as well as flexible hours are available.

The salary grade for the position is 11.
Hourly Range:
The hourly range for the position is $34.23 – $39.34.
