Job Description:
Leadership Support
- Assists the Director and Assistant Director in conducting post-award grant management for IFAS.
- Assists the Director and Assistant Director in interviews, hiring, and training employees in post award management; consult on performance appraisals; mentor ongoing professional development; establish back-ups through cross-training.
- In conjunction with the Director and Assistant Director analyze post-award policies and procedures and create/implement new, or modify existing, policies and/or procedures to promote grant award compliance, efficiency, and productivity within SPA and IFAS and assist in communicating policies to all IFAS staff performing post award activities on Sponsored Programs.
- Develop, maintain, and monitor analytic reports that evaluate IFAS’s grant portfolio.
- Develop comprehensive training manuals and guidelines for post award management including step-by-step processes. Regularly update training materials to reflect changes in regulations and procedures.
- Assists Director with Sponsored Program expense reviews including compiling complex financial information on journal entries, vouchers, and standard transactions such as expenditures for materials, equipment, support staff and travel.
- Provide excellent and efficient customer service to unit leaders, Principal Investigators and fiscal administrators.
- Promote and maintain excellent relationships with core offices including the Division of Sponsored Programs, Contracts & Grants, Cost Analysis, etc.
- Stay up to date with relevant grant-related information and policies.
- Attend conferences, workshops and informational development seminars and keep abreast of current trends and practices pertaining to post award administration. Attend meetings held by DSP, C&G, Dean for Research Pre-Award team and SPA related to grants.
Research Administrator Support
- Support all post award functions for the SPA RA team by serving as a resource for RAs when problem solving and interacting with faculty on complex issues.
- Provide mentoring and training to SPA RAs to ensure consistency in service delivery, procedures, compliance, and communication.
- Provide training to RAs in a wide variety of topics including but not limited to effort, payroll calculations and distributions, subaward management, UFIRST, cost sharing, reconciliation, project closeout, no-cost extensions, sponsor prior approval, etc.
- Provide communication, training and guidance to PIs, and unit staff based on up-to-date federal/state and institutional grant practices and policies.
- Advise faculty on best practices for post-award management.
- Attend PI meetings and provide necessary training, guidance and communications designed to ensure effective meetings between Principal Investigators and their research administrator.
- Provide post award services for PIs in the absence of the assigned RA.
Compliance
- Serve as a resource to faculty and staff by providing information and guidance on appropriate use of sponsored program funds.
- Support compliance by reviewing budgets, spending, and providing guidance and counsel for the stewardship of sponsored research funds and ensuring University policies and processes, Federal Uniform Administrative Requirements (2.CFR 200), and sponsor requirements and expectations are met.
- Support compliance in all other areas related to grant and contract management, including compliance registrations, safety and environmental health issues, internal protocols, conflicts of interest, etc.
- Monitor fiscal activity on sponsored programs for cost and salary allocation compliance.
- Maintain authoritative knowledge of Uniform Guidance and other relevant grant regulatory requirements.
- Resolve mid-size compliance-related issues and work with leadership on larger issues, as well as act as a resource for other staff.
- HSP/RPP approval
Portfolio Management
- Manage a small portfolio of sponsored programs cradle to grave to ensure skills and knowledge are kept up to date.
Other Duties as Assigned
Expected Salary:
$80,000 – $90,000, commensurate with education and experience
Minimum Requirements:
Bachelor’s degree and four years of experience in grant and contract administration; or an equivalent combination of education and experience.
Preferred Qualifications:
- Global understanding of the total research environment in higher education from proposal preparation, to final deliverables, and financial closeout.
- Proven ability to provide leadership, management and training to the sponsored programs team.
- Highly developed communication and interpersonal skills, and experience working with employees in a hybrid work environment.
- Strong attention to detail, and a focus on superior customer service
- Experience managing workflow to maximize efficiency and pro-actively identify best practices and share those with the team.
- Demonstrated ability to cultivate and maintain effective working relationships with groups of stakeholders both internal and external to the University.
- Extensive knowledge of Uniform Guidance, and all other policies and procedures related to sponsored programs including all UF/State of Florida rules and regulations regarding research activities.
- Capacity to train others on complex tasks related to compliance, grant preparation, and award management.
- Ability to interpret guidelines, rules, and regulations and analyze policies and procedures and make decisions based upon the interpretation.
- Analytical and problem-solving skills, including researching and analyzing complex data to develop accurate reports
- Professional attitude that is conveyed in all interactions, communications, and appearance
- Experience with UFIRST, myUFL, Microsoft Office applications, and a knowledge of fiscal and Human Resources related to sponsored programs
